Job Description

Hesselberg Maskin, in collaboration with Randstad AB, is currently looking for an administrator for our operations in Aitik. We are seeking a driven and detail-oriented individual who thrives on diverse tasks as the role is broad and encompasses many interesting responsibilities.

As an administrator, you will largely act as the right hand to the workshop manager. You will also interact with suppliers, customers, and many internal colleagues such as controllers and planners.

It is important that you have good system knowledge as you will work in both internal and external systems. Naturally, you should also enjoy order and structure and have a methodical way of working. Your tasks may range from assisting in the development of new routines or schedules, to participating in weekly meetings with Komatsu, handling invoicing, ordering consumables, or ensuring that necessary documentation is in place in collaboration with planners.

Responsibilities

• Assist in the development of schedules and other documents
• Participate in the development of routines
• Supplier contacts
• Obtain quotations
• Book services
• Work with invoicing
• Handle work orders and warranty cases in the system
• Document in the customer's system
• Manage orders for computers, IT equipment, work clothes, and inventory
• Necessary administration related to the vehicle fleet (book inspections, order safety equipment, etc.)

Qualifications

REQUIREMENTS:

• At least 2 years of experience in administration
• Relevant industry experience, such as in manufacturing, heavy machinery, or workshops
• Some knowledge of spare parts for mobile machinery
• Experience in customer contact/supplier contact
• Good general IT skills, Office suite
• Good system knowledge
• Good command of Swedish and English in speech and writing
• Driver's license B

MERITING:

• Education in administration
• Prior knowledge of Maximo and/or Microsoft Navision
• Experience in creating schedules
• Experience in invoicing
• Experience in creating presentations in PowerPoint
• Experience in handling vehicles administratively
