Job Description

We are looking for a structured and meticulous project administrator part-time (at least 50%) to support an ongoing project in the energy sector. The role involves providing administrative support to the project team, ensuring order and structure in the project area, and coordinating meetings and documentation.

The project is currently in the preparation phase for a larger investment and is planned to enter the implementation phase in 2025. As a project administrator, you will be an important part of the team and contribute to effective project management.

The working hours are at least 50%, but during certain periods, the scope may increase to 100% by agreement depending on the project's needs.

Responsibilities

• Administer the project area, including access management, folder structure, and documentation.
• Coordinate and schedule meetings, primarily with external parties.
• Organize seminars, workshops, and kick-off meetings.
• Administer contracts and purchase orders for project resources and compile monthly timesheets.
• Support archiving and management of project and final documentation.
• Write minutes for internal and external meetings.
• Update the project timeline in collaboration with the scheduler.
• Review and update technical flow diagrams (PID) and instrument and valve lists according to instructions.

Mandatory Requirements

• Good knowledge of Swedish and English.
• Experience with Microsoft Office Suite, including Teams and SharePoint.

Preferred Qualifications

• Previous experience in project implementation within the district heating sector.
• Experience working with PID diagrams in AutoCAD or equivalent tools.
• Experience managing timelines in MS Project.
