Event Project Manager

The purpose of the operational support is to support the university's education and research. KTH's operational support is in an exciting phase where we are working together to develop our working methods. The Communications Department consists of four groups with associated group leaders. We are about 55 employees responsible for, among other things, educational communication, research communication, internal and management communication, crisis communication, alumni relations, branding, editorial work, press functions, digital development, system management, and events. Together, we work to strengthen and make KTH visible for increased competitiveness. Right now, we are conducting a lot of development related to strengthening operational support, achieving improved management and governance, and enhancing common working methods and culture.

The position of event project manager is placed in the Channels and Systems group.

Job Responsibilities

As an event project manager, you will be responsible for planning, executing, and following up on various types of events. You will work closely with different functions within and outside KTH to ensure that projects are delivered according to budget, timeline, and with a focus on quality. The role requires strategic thinking, creative problem-solving, and strong coordination skills.

The position involves coordinating responsibility and execution of projects and activities within the event and communication area to strengthen KTH's brand both internally and externally. The position has an initial focus on KTH's 200th anniversary in 2027 but will also provide support to the organization with a focus on the event area.

Your main responsibilities:

• Plan, lead, and coordinate projects and project teams throughout the project cycle
• Develop project plans, timelines, and budgets in consultation with others
• Perform concrete tasks and deliverables within the framework of projects to ensure progress and quality
• Ensure that deliverables meet set goals and quality requirements
• Evaluate and report project results and identify improvement opportunities for future work

The position also involves carrying out various communication initiatives related to events, where newsletters, web publishing, and content production for social media may be examples of this. There may also be investigative tasks within the event and communication area, such as situation analyses with recommendations regarding decisions, establishing routines and checklists for the organization. The job may include work in and/or management of digital systems and programs, participation in procurement processes, as well as documentation and processing of decisions.

Qualifications

Requirements

• Education in the event or communication field that is deemed relevant by the employer based on the job description
• Several years of experience in the event and communication field
• Experience working in projects (both in a leading role and as a project participant)
• Good oral and written ability in both Swedish and English as required in daily work
• Comfortable in the role of ordering from various types of suppliers

Personal qualities

• Excellent ability to structure, organize, and lead your work and, in some cases, the work of project members
• Driven and results-oriented towards set timelines and goals
• Ability to collaborate in different contexts as the ability to create and develop good relationships is fundamental to the assignment
• Developed sense of detail combined with the ability to see the big picture
• Interest in following developments in the event and communication field and the ability to translate knowledge into relevant ideas, projects, and activities

Meritorious

• Experience working with events and communication in the international market
• Experience working in government or within the higher education sector
• Education in project management
