Document Controller at PTS

Do you want a key role in ensuring high quality and efficient management of the authority's cases and documents? As a document controller at PTS, you will work both independently and in close collaboration with colleagues to develop and manage our filing system. About the Role

The role of document controller means being the spider in the web and contributing to PTS's information management. Your main tasks include filing and handling daily flows of documents, including security-classified documents. You will also provide advice and support to the organization on issues related to archives and document management, as well as train employees in filing and document management. The role also includes collaborating with the authority's archivists in work with process mapping and archive reporting.

As the authority modernizes and digitalizes, you will contribute to business development, particularly related to changing processes and the introduction of a new filing system. The role offers an opportunity to be a driving force in PTS's continued development of effective and modern solutions for document management.

About the Team

The unit currently consists of three archivists, three registrars, two caretakers, a department-wide assistant, and a unit manager. Despite the unit's different areas of work, we are a close-knit team that values social interaction with shared lunches and coffee breaks.

About You

We are looking for a forward-looking and proactive document controller who wants to help strengthen our information management and meet the growing needs of the organization. As a person, it is important that you take responsibility for your work, work independently, and have the ability to stay one step ahead in guiding the organization.

The work is carried out in close collaboration with colleagues within the authority, which requires good collaboration skills. To succeed in the role, you are structured and plan your work well, complete what you have started, and meet deadlines. You are also creative, think outside the box, and find innovative solutions to problems. Your solution-oriented mindset allows you to quickly adapt and handle challenges effectively. For us, your personal qualities are important, and we will place great emphasis on these.

We are looking for someone who has:

  • A completed university/YH education in archival science, document controlling, information science, or other education deemed equivalent by the employer.
  • Several years of professional experience in archives, registries, or document controlling.
  • Very good knowledge of Swedish in speech and writing.

It is advantageous if you have:

  • Knowledge of archives, e.g., knowledge of archival legislation.
  • Experience in handling security-classified documents.
  • Experience in development work within filing, information management, and case management or similar.

Good to Know

The position is a permanent employment with an initial probationary period of six months. Placement in Stockholm with a start as soon as possible by agreement.

The position is classified in a security class. Therefore, Swedish citizenship and a successful security clearance in accordance with Chapter 3, Sections 1–3 of the Security Protection Act (2018:585) are required for employment.
