We are looking for a driven operations coordinator who wants to support the management team in analysis, follow-up, and development work within the Local Supply unit.

Mission of the Local Supply Unit

The unit is responsible for renting, managing, and developing premises for the Swedish Public Employment Service's operations, as well as having a national service responsibility for workplace-related services such as cleaning, fire safety, centralized access control, and mail services, among others. Additionally, the unit is responsible for developing, designing, and monitoring the authority's work in the area of physical security. The unit is also responsible for developing cross-authority instructions and manuals within its area of responsibility.

The unit has a budget responsibility for all costs related to the unit's operational responsibilities and personnel costs for the unit's employees.

The unit consists of about 40 employees and is divided into three sections – Local Planning, Local Projects, and Workplace-related Services. All have clear operational responsibilities.

We are now looking for an operations coordinator for the unit. As an operations coordinator, you report directly to the unit manager and are part of the unit's management team.

Job Description

As an operations coordinator, you support the unit manager and section managers in coordinating, analyzing, and developing the operations. Since the unit has extensive budget responsibilities, a comprehensive coordination responsibility regarding the budget, continuous forecasting, and outcome monitoring is included. You work both operationally and strategically to follow up on goals, processes, and efficiency. A central part of the role is to ensure that the operations are managed legally and in line with established goals. You are expected to take the initiative and implement activities that enable goals to be achieved and to drive development work within the unit. Collaboration in meetings and networks, both internally and externally, is an important aspect of the tasks. You are part of the unit's management team.

The position is a permanent full-time employment that may start with a six-month probationary period. The workplace is located in Solna.

Basic Requirements for the Position

  • University education of 180 credits (120 points according to the previous system) or equivalent experience deemed equivalent by the employer
  • Documented experience in planning and conducting qualified follow-up and analysis work, as well as good experience in writing reports
  • Documented experience in operational planning or operational management in a larger organization
  • Experience working in public operations
  • Experience in budget work as an operations controller/economic controller or similar roles, where budgeting and financial follow-up have been part of the tasks.
  • Very good ability to express oneself in Swedish, both orally and in writing

Other Merits for the Position

  • Experience in process mapping
  • Completed the Swedish Public Employment Service's internal basic training and has at least three years of experience in similar work at the Swedish Public Employment Service
  • Experience as a manager
  • Experience with the Public Procurement Act and other procurement work.
  • Experience from the real estate sector
