Administrator / Registrar and Data Protection Officer (DPO)

Do you want a key role close to management and political decision-making processes?

Kretslopp Sydost is looking for a qualified administrator who is also a registrar and Data Protection Officer. This is a central role where you are responsible for the organization's document management, case processes, and data protection work, while working closely with the board leadership, managers, and elected officials.

You will become an important specialist resource in matters concerning public access, registration, GDPR, and information management. Through your work, you contribute to ensuring legal certainty, transparency, and quality throughout the organization. About the position

As an administrator, registrar, and Data Protection Officer, you have a central function in the organization and collaborate closely with management, operations, and political representatives. You are responsible for the registration office and diary recording, case coordination prior to board meetings, data protection issues, and the development of administrative routines and working methods. You are also the system administrator and superuser for Platina, our document and case management system.

The role involves significant personal responsibility and gives you the opportunity to influence how we work with information management, document control, and administrative processes moving forward.

You report to the Head of Finance and Administration.

Responsibilities

The role includes, among other things:

  • Serve as secretary for board meetings and be responsible for invitations, minutes, and follow-up administration.
  • Be responsible for diary recording and handling of public documents.
  • Ensure legally secure and efficient document and case management.
  • Be the system administrator and superuser for the document and case management system Platina.
  • Train and support operations in the use of Platina and current routines.
  • Serve as the organization's Data Protection Officer and support operations with GDPR-related issues.
  • Coordinate and administer the political case process.
  • Administer and register contracts in the operation's system support.
  • Contribute to work on information security, governing documents, and internal routines.
  • Provide qualified administrative support to management and operations.
  • Develop and streamline administrative processes and working methods.

The tasks are varied, and several areas of responsibility are recurring rather than daily, which provides room for development work and the opportunity to contribute to the organization's continued development.

Qualifications

We are looking for you who:

  • Have a relevant university education in areas such as public administration, law, political science, or other education that the employer deems equivalent.
  • Have experience with registration offices, diary recording, or document management, preferably within public operations.
  • Have good knowledge of the principle of public access and the handling of public documents.
  • Have experience with qualified administrative work.
  • Have very good digital competence and good ability to work in various operational systems.
  • Have very good ability to express yourself in Swedish, both orally and in writing.
  • Are structured, meticulous, and self-reliant.

Merits

It is meritorious if you have:

  • Experience working in a politically governed organization.
  • Experience as a board secretary, registrar, or similar role.
  • Education in registration, document management, or board administration.
  • Experience working as a Data Protection Officer or with GDPR issues.
  • Knowledge within information security.
  • Experience with Platina or similar case and document management systems.
  • Experience in training and supporting users in operational systems.
