Are you a structured and service-oriented administrator who thrives in a role where order, clarity, and strong collaboration skills are key parts of your daily work? We are now looking for an Administrator for a contract assignment with one of our clients in Östhammar.
This role is perfect for you if you want to work closely with operations, handle broad administrative tasks, and be a vital support in the day-to-day workflow. Your responsibilities will include meeting management, documentation, ordering, working with administrative systems, as well as conference and meeting bookings.
The assignment is full-time with a planned start date of September 28th and an expected duration of approximately one year, with possibilities for extension.
You will be employed as a consultant by Poolia and work on assignment at our client's office in Östhammar.

About the RoleAs an Administrator, you will have a broad and operationally close role where you support the organization with various administrative matters. You will handle both routine administration and more coordinating tasks related to meetings, documentation, and internal administrative processes.
The role requires you to be confident in taking ownership of your tasks, following up on cases, and creating structure in daily work. You will have multiple points of contact and therefore need a strong service mindset, a solution-oriented approach, and the ability to handle information with high confidentiality.
Key responsibilities include:
- Providing administrative support to operations
- Managing meetings and documentation
- Handling orders and administrative systems
- Booking conferences, meetings, and other practical arrangements
- Working with Outlook and other administrative tools
- Ensuring routines and working methods are followed
- Contributing to structure, follow-up, and administrative support where needed
To thrive in this role, you must be structured, detail-oriented, and responsible. You have strong planning and prioritization skills and are accustomed to driving your tasks forward independently.
You are service-focused and collaborate easily with various people and functions. The role requires you to be solution-oriented, flexible, and confident in handling both practical and administrative matters. QualificationsWe are looking for someone with:
- A relevant upper secondary education of at least 3 years
- At least 2 years of relevant professional experience in administration
- Administrative competence and experience working in a service-oriented manner
- Proficiency in Outlook
- Strong ability to work independently
- Good knowledge of MS Office
- Excellent verbal and written Swedish skills
The following are considered meritorious:
- Good English proficiency
- Experience with meeting administration and documentation
- Experience with ordering and administrative systems
- Experience working in security-classified or regulated environments
As this position is security-classified, a successful security clearance is required to commence the assignment.
