Your Role
As a case officer specializing in project offices and project support, you will play a central role in developing, establishing, and managing the Swedish Food Agency's support for project activities. Together with managers, specialists, and project teams, you will develop working methods that provide better conditions for the planning, control, execution, and follow-up of projects.
The Swedish Food Agency uses Wenell as the foundation for project management. Therefore, this assignment is not about introducing a new project model, but rather about further developing, concretizing, and managing how Wenell's methodology is applied within the agency's project operations. This includes, among other things, creating clear support, templates, working methods, and guidelines that make the method easy to use and adapted to our needs as a government agency.
The work includes, among other things, developing and managing:
- Regulatory structures that clarify forms and procedures for project activities,
- The application of Wenell's model for project management within the Swedish Food Agency,
- Forms for document management in projects, including templates and structures for project documentation such as background materials, plans, decisions, and follow-ups,
- Tools and working methods for project planning and internal collaboration,
- Effective forms for financial planning and follow-up of project activities in collaboration with the finance unit,
- Communication regarding the project office's function together with the communications unit and what support projects can expect,
- Training for various roles within project activities,
- Advisory services to project organizations on matters concerning Wenell's project methodology, project management, documentation, planning, and follow-up.
The role is under construction, and the scope will develop over time. This means you need to be able to create structure based on an established method and continuously adapt the support based on the organization's needs. A key part of the assignment is therefore to work closely with the operations, identify needs, translate them into practical solutions, and contribute to making the project office a clear and value-adding support for the entire agency.
The Department for Agency Support
Within the Department for Agency Support, there is significant responsibility for agency-wide processes. The work with these processes is owned by unit managers and specialists within the units. We aim to continuously develop our agency-wide processes in a cost-effective manner and from an outside-in perspective. The position will be placed directly under the Head of Department for Agency Support.
Your Qualifications
You have a university degree, or other education that we assess as equivalent, of at least three years. You have several years of relevant experience working with administrative processes, organizational development, project support, or similar tasks within a government agency or other public sector operations, preferably at a national level.
You have a good understanding of how control, planning, follow-up, and documentation work in an agency environment. You are accustomed to producing guidelines, routines, templates, guidelines, or other controlling and supporting documents. You also have experience coordinating work with multiple actors and conducting training, presentations, or other knowledge-raising initiatives.
To succeed in the role, you need to have very good ability to structure complex issues and translate them into practical working methods. You can lead development work forward, create involvement, and motivate qualified colleagues without always having a formal management mandate. You express yourself simply, clearly, and in a target-group adapted manner in speech and writing.
Experience with project models, portfolio management, program management, business planning, financial follow-up, or digital collaboration tools is meritorious.
A category B driver's license is meritorious.
Your Personal Attributes
As a person, you are outgoing, communicative, and confident in collaborating with different parts of the organization. You have a structured working method and strive for clear, quality-assured, and usable workflows.
You are responsible, solution-focused, and development-oriented. You have the ability to drive issues forward while being sensitive to the organization's needs and open to new perspectives. You invite collaboration, build trust, and contribute to joint learning.
To thrive in the role, you need to enjoy working both strategically and practically: analyzing needs, building structure, creating concrete support, and following up on how working methods function in daily life. You are happy to share knowledge and contribute to strengthening the agency's joint capabilities.
We place great emphasis on your personal attributes.
