We are now looking for an Administrative Coordinator/HR Assistant, a service-oriented role where you will be a key support for both managers and the organization. This is a broad role where you will work with many different aspects related to administrative support, system support, coordination of various events, and truly be the hub of the network!

Your Role

In the role of Administrative Coordinator, you are a central part of the operations and contribute to making daily life run smoothly for managers and employees. You work broadly across different areas with both system support and general administration, and you are the obvious contact person for local administrative matters.

With structure, responsibility, and professional handling, you create good service and prerequisites for efficient working methods. You are confident in your role and enjoy juggling many different tasks.

You will belong to the HR and Communication department in Garpenberg. The position is a fixed-term contract until Spring Term 2027.

Your Responsibilities

  • Provide qualified administrative support to managers and employees, as well as supporting the area manager with various administrative tasks
  • Provide support/training regarding various systems and digital tools
  • Coordinate meetings/visits, as well as arrangements and administration related to these
  • Plan and coordinate internal events and activities such as family days/open houses, etc., and contribute to their execution
  • Contact person for sponsorship and related activities/raffles
  • Handle meeting and conference bookings as well as coordination with the restaurant and other internal functions
  • Administer gifts and farewells and handle invitations to the Christmas party
  • Coordinate internal raffles and other recurring personnel-related activities
  • Work with employee care, including contact with external suppliers
  • Handle orders, deliveries, and contacts with external parties
  • Administer sponsorship, order fair and event materials such as print materials, roll-ups, giveaways, and branded clothing
  • Responsible for subscriptions and printing costs
  • Support communication work as backup within social media, intranet, and digital information screens

Your Contribution

We are looking for you who thrive in a service-oriented role with many contact surfaces and varied tasks. You are meticulous, work in a structured and independent manner, take responsibility for your tasks, and have the ability to stay one step ahead. You are flexible in your work and can quickly adapt your duties based on the company's needs. Excellent service skills are a given for you!

You have:

  • At least a high school education, preferably with a focus on economics/administration, and experience in administrative work
  • Good communication skills in both Swedish and English
  • Good system proficiency and ease in learning new digital tools
  • Very good service skills with a professional and solution-oriented approach
  • Good teamwork skills and ease in dealing with people in various matters
  • An open mind and a desire to learn new things, driven by developing processes
  • Valid driver's license (Category B)

Meritorious if you have:

  • Experience from the HR system Workday
  • Knowledge of the purchasing system Maximo
  • Experience with invoice processing in Basware
