Do you want to work with the case processing of the municipal consortium together with competent and engaged colleagues in the Municipal Administration Office?
The registrars work towards all boards and companies within the Piteå Municipal Consortium. As a registrar with us, you are part of a team with registrars, chief registrar, board secretaries, municipal secretary, and team leader who together plan and carry out the work.
You will be part of the Executive Office, which is part of the Democracy and Development department within the Municipal Administration Office. From January 1, 2027, we will consolidate support for our boards and companies into a central, shared office. This is a strategic initiative where you, as a registrar, will play a central role in developing and ensuring the quality of the municipal consortium's case processing. We are now looking for a registrar for our new office.
Job Responsibilities
In your work, you are responsible for and ensure that the principle of public access is followed through good documentation and traceability in established cases. The assignment includes standard registrar tasks such as registration, diary management according to current legislation in the municipality's case and document management system, release of public documents, mail handling, and functional mailboxes handled by the registry. You provide support and expertise to elected officials, case handlers, and managers within the consortium. You are expected to participate in and contribute to the improvement of processes, systems, and routines related to case handling and registry. If needed, you support other activities within the office.
Qualifications
As a registrar, you are expected to be confident and professional in your role. You have a positive attitude towards providing service, advice, and support. Since you often handle multiple processes and cases in parallel in this role, you need to be able to plan and organize your work efficiently with the help of good structure. You need to have very good ability to express yourself orally and in writing in Swedish so that you can communicate with colleagues, elected officials, and other actors, as well as document what the operations require.
As a person, you are unpretentious, structured, and quality-conscious. You have a highly developed self-leadership, are proactive, can prioritize, and absorb new information quickly.
Requirements:
- Have a university/college degree in registry, archives, information science, or other comparable competence acquired through work experience that the employer considers equivalent.
- Knowledge of municipal law, administrative law, the Public Access to Information and Secrecy Act, and the Data Protection Regulation.
Merits:
- Worked as a registrar or in a comparable role in the public sector as assessed by the employer.
- Experience working in case and document management systems.
- Experience working closely with management in a politically governed organization.
Other
A B-class driver's license is required for the position.
The position is a permanent, full-time day position.
Start date is by agreement.
Since some positions at Piteå Municipality require security clearance, you may be required to undergo a security check before employment. This includes a security clearance interview and register control. Swedish citizenship is required for some positions.
