The Employment and Integration Department in Umeå Municipality is responsible for the integration of newly arrived individuals and employment issues within the municipality. We provide guidance, create opportunities, and contribute to new pathways for people who need support to enter and progress in society and working life. We also contribute to competence supply from both a local and regional perspective.

We are a dynamic organization characterized by great flexibility and adaptability to meet new legal requirements and changing external factors. The department often seeks project funding in collaboration with other parties to develop operations. In 2026, work will take place within the department to handle the activity requirement reform, which will involve an increase in the number of participants in our operations.

The support function within the department is now looking for an experienced, engaged, and service-oriented administrator who wants to contribute to the department's mission. The support function is responsible, among other things, for administration regarding the activity requirement reform, reception, building maintenance, as well as orders, invoice processing, project administration, and payroll and employment support to managers in municipal operations.

With us, you will have a varied workday where you meet people, solve problems, and provide support to both colleagues, participants, and visitors.

Your responsibilities

As an administrator, you are the hub in the daily work regarding participant activities. You handle registrations, scheduling, room booking, and logistics regarding group starts, materials, and participant communication. The role includes navigating and, if necessary, creating digital solutions for booking and participant flows.

In addition to the activities, you serve as administrative support for the project operations, a role that requires versatility and the ability to switch between different types of tasks, such as control and reporting according to funders' requirements, monitoring employment rules for project employees, schedules, working hours, and payroll data.

Furthermore, the role includes orders and invoice review, payroll registration, reception staffing, and other routine administrative tasks. As an administrator, you work on the continuous improvement of our existing processes and ways of working. You have a central function within the department and are an important part of our joint work.

About you

We are looking for someone who is structured and service-oriented, with an eye for detail without losing sight of the big picture. You are comfortable with digital tools, quick to learn new systems, and see opportunities in creating order where it does not yet exist. You thrive in a supportive role and understand that your work is a prerequisite for others to do theirs. You find it easy to collaborate with others, enjoy working in a structured manner, are quality-conscious, and have the ability to independently plan, organize, and prioritize your tasks.

You manage to work with several tasks simultaneously of varying nature, both qualified and simpler tasks. Since the workload and tasks may vary over time, it is important that you have the ability to handle temporary work peaks and easily adapt to changes. We place great emphasis on your personal suitability.

Requirements

  • Upper secondary education
  • A few years of experience in administration within public or private sector operations
  • Experience within the last three years in a role where administration was the main task
  • Very good system skills in the Office package, especially in Excel with experience working with statistics, quality, and follow-up
  • Experience with other IT-based systems
  • Unrestricted proficiency in Swedish in speech and writing, as well as good proficiency in English in speech and writing
  • Valid extract from the criminal record

Merits

  • Post-secondary education in administration or other education that the employer deems equivalent
  • Experience working with administration in public operations
  • Experience working in Visma RoR, Personec, and/or Proceedo
  • Category B driver's license
