In Umeå Municipality, preschools and primary schools (grades F–6) are divided into two operational areas, North-East and South-West, while grades 7–9 constitute a separate operational area. Principals are responsible for and lead operations within schools and preschools, and an area manager coordinates work within each respective school area.
School administrators are part of a joint administrative unit consisting of approximately 50 administrators, led by two administrative managers.
We are now looking for a School Administrator who wants to help develop a more efficient and sustainable approach to substitute teacher management and timetable planning!
About the role
You will become a key figure in a pilot project during the autumn term of 2026, where we will test a new model for central substitute teacher planning. The goal is to create better structure, use resources more intelligently, and give school leaders and educators more time for their core mission – teaching.
Your responsibilities:
- Plan and coordinate substitute teachers.
- Create smart and efficient timetables – often with short notice.
- Serve as a key contact point for schools and principals.
- Contribute to new working methods and improved routines.
- Visit relevant schools.
We believe you are structured, solution-focused, and able to prioritize quickly. You thrive and feel secure in a fast-paced environment where conditions can change rapidly. Furthermore, you are service-oriented and clear in your communication. You are accustomed to working digitally and can handle multiple tasks simultaneously. Personal suitability is highly valued.
Qualifications
- Completed upper secondary education preparing for higher education.
- A few years of experience in administrative work.
- Good digital skills.
- Valid driver's license (Category B), to visit relevant schools.
- Good proficiency in Swedish, both spoken and written.

Other details
The position is a fixed-term full-time appointment, from 2026-08-12 to 2026-12-23.
We will conduct continuous selection and interviews may take place before the application deadline has passed.
In accordance with the Law on Suitability Checks, a certificate of good conduct (extract from the police register) must be presented upon employment.
