The Swedish Agency for Youth and Civil Society (MUCF) is a government agency that generates knowledge about young people's living conditions and the prerequisites of civil society. Our vision is an open and inclusive Sweden with good conditions for young people and civil society. We strengthen civil society and young people for a cohesive and strong Sweden.
MUCF has been tasked by the government to work towards achieving the goals of youth policy and civil society policy. We do this by generating, collecting, and disseminating knowledge, as well as contributing to the coordination of state initiatives. We collaborate with agencies, municipalities, regions, and civil society organizations, and distribute state grants.
As of January 1, 2026, the agency's mandate has expanded as we have taken over tasks previously held by the Agency for Support to Religious Communities (SST) and responsibility for state tasks within minority policy. This means that MUCF is an even more important actor in the work to strengthen democracy, promote participation, and contribute to an inclusive society.
MUCF has offices in Växjö and Stockholm.
The Department for Management and Operational Support is primarily responsible for processes regarding operational planning and follow-up at the agency level. The department handles economic, procurement, and HR issues. Furthermore, the department is responsible for the agency's application of law, including supervision and follow-up thereof.
Description
As a Coordinator for Internal Services and Hospitality, you will be the agency's first point of contact, responsible for creating a safe, professional, and well-functioning office environment at our office in central Stockholm. The role combines reception, office services, and administrative support with a clear focus on hospitality for meetings, visits, and events.
An important part of the assignment is to act as an event host for internal and external meetings, ensuring that venues, technology, and services function smoothly before, during, and after meetings.
This role suits you if you have experience from reception, conference operations, hotels, or other service industries where hospitality and customer service are central, and if you enjoy a role where you meet both colleagues and external visitors daily.
The work is performed on-site at the office in Stockholm.
Responsibilities
Reception and Hospitality
- Receive and welcome visitors and handle tasks as a receptionist
- Ensure professional hospitality for the agency's guests, meetings, and events
- Handle access control, alarms, and basic security routines
Event and Meeting Services
Provide service and practical support at events and meetings, including:
- booking and ordering refreshments
- furnishing and preparing venues
- ensuring venues are in order before and after meetings
- providing basic technical support during meetings
Office Services and Facility Management
- Be the contact person for issues regarding facilities, work environment, and daily office services
- Ensure order, functionality, and well-being in office areas, kitchens, and common spaces
- Coordinate external suppliers (e.g., services, cleaning, deliveries)
Basic IT Support
Support for employees in daily operations, for example:
- support for simple technical challenges,
- help with connectivity, screens, printers, and meeting equipment
- support in using common office tools and digital meeting solutions
Administrative Support
Perform certain administrative and documentation tasks and provide support to other functions within the agency.
Qualifications
We are looking for someone who has:
- Upper secondary education with a focus on service, administration, or another equivalent education deemed suitable by the employer
- At least 5 years of experience working in reception, conference service/hosting, hotels, internal services, or a similar role with a clear focus on hospitality
- Experience in internal services
- Experience with administrative tasks
- Good IT skills and the ability to work in administrative systems
- Basic technical IT knowledge to provide user support in office and conference environments
- Very good ability to express oneself in Swedish, both verbally and in writing
- Basic knowledge of English
It is an advantage if you have experience of:
- Working within the public sector or a government agency.
- Security routines, access control, or alarm systems
- Basic IT support
- Office services, supplier contacts, and practical support for office operations.
To function well in this role, you need to be service-oriented, solution-focused, and responsible, with a good attitude and high integrity. You enjoy a hosting role where you meet visitors and contribute to creating a welcoming and professional environment.
You feel confident handling simple technical issues and supporting colleagues when needs arise. As a person, you are independent, structured, and have a good ability to organize your work. You enjoy a varied role where you can switch between practical, technical, and administrative tasks. You have good collaboration skills and actively contribute to a positive work environment.
