System Management Coordinator

Job Responsibilities

As a System Management Coordinator, you will be responsible for coordinating the system management work at the IT Division, Lund University. The management platform consists of a modified version of PM3, and the management objects are about 20 Basic IT services, each with its own management organization. The assignment involves being responsible for developing similar working methods, processes, documentation (Management Plans), and support for the members of the management organization, the roles SÄ, SF, IT-SF, and IT-SÄ, and IT specialists. You will receive new IT support that requires a management organization and lead and support the work of initiating the setup process, creating Delivery Agreements, establishing Management Plans, assigning roles to the management organization, and creating conditions for financial reporting and invoicing. The process for receiving and phasing out management organizations will be developed by you. Your work also includes the role of IT System Owner for Sections at Lund University's administration, where you have the ultimate responsibility for ensuring that the IT part of system management functions and that IT delivery meets the right quality. You are responsible for implementing and monitoring IT processes and IT security measures. The IT support delivered in these management organizations covers large areas and rests on various technical platforms for which you are responsible for IT delivery. IT resources and IT budget for the IT part of system management are ensured by you.

Qualifications

Requirements for the position are:

  • You have an academic degree
  • You have several years of work experience in a government management organization in the role of IT System Owner in the Management platform PM3 or equivalent
  • You have several years of work experience as a technical project manager with various technical orientations
  • You have expertise in requirements specification and risk management
  • You have experience in resource planning, budgeting, and cost follow-up
  • Your role requires a good ability to communicate technical issues in a pedagogical manner
  • You have a very good ability to work with Microsoft applications such as Office suite, Teams, Planner, and Project

Desirable for the position are:

  • Good insights into IT infrastructure and its components
  • Experience working in steering group environments in higher education with a strategic IT focus
  • Experience as a purchaser of IT support
  • Knowledge and experience of working with IT support systems such as Jira, Hypergene (budget), Qbis (time reporting), Halo (case management)
  • Experience working in the university or higher education sector

We are looking for someone with good collaboration skills, who is clear and structured. Great emphasis will be placed on personal qualities.

The employment is permanent with a start date of 2026-04-01 or by agreement. A probationary period may be applied.
