The Procurement and Purchasing Unit is part of the Department of Law, Planning and Economics and is a part of the shared operational support.

We work category-driven and consist of procurement officers, procurement lawyers, purchasing controllers, purchasing coordinators, travel managers, and unit managers – a total of 20 employees. Together, we support the organization in acquiring the goods and services required for KI to conduct high-level research and education.

We are now strengthening the unit with an e-commerce coordinator who will help further develop e-commerce through UBW's e-commerce module. Since the role is new, there are great opportunities to influence working methods, routines, and processes.

Your Role

As an e-commerce coordinator, you will work closely with the organization and have contact with researchers and administrative staff throughout KI. The Procurement Unit is responsible for all procurements over 100,000 SEK within research, administration, real estate, and IT, which means you will enter a broad and dynamic purchasing environment with great development opportunities.

Responsibilities

In this role, you will be responsible for the e-ordering process in UBW and drive the development of e-commerce together with purchasing, finance, system management, and other internal functions.

You will, among other things:

  • be responsible for new and existing supplier connections
  • conduct training, workshops, and information initiatives
  • provide support to institutions and other parts of the organization
  • develop routines, processes, and working methods within e-commerce
  • update prices and articles
  • contribute to troubleshooting and system management
  • collaborate both internally and with KI's suppliers

You will also participate in the unit's overall development work.

Who are you?

We are looking for someone who has:

  • a relevant academic degree
  • experience with economic administrative flows
  • experience working in larger business systems
  • excellent ability to communicate in Swedish and English
  • very good computer and system skills

It is an advantage if you have:

  • good knowledge of e-commerce systems
  • experience working with and developing e-commerce in larger organizations

You are solution-oriented, curious, and see improvement opportunities. The role requires you to be self-driven, take initiative, and work in a structured manner. Good collaboration skills and ease in creating contacts – both internally and externally – are crucial for success. We place great emphasis on personal qualities.
