Chief Registrar to the Department of Children and Education

As our chief registrar moves on to other tasks within the administration, we are looking for a successor. Are you ready for a new challenge where you can truly make a difference? Do you want to be an important cog in the organization's machinery? Then this is the role for you! We are looking for an engaged registrar who is passionate about information management, service-oriented, and enjoys working with development.

Your New Job

Working as a chief registrar in the Department of Children and Education is a qualified assignment where your knowledge, accuracy, and sense of structure are crucial for ensuring that cases and documents are handled legally. You will be a key person in the democratic process regarding transparency, insight, and public documents. You will work with the entire information chain from mail opening, registration/diarization to archiving, disposal, and release of public documents.

A large part of the job involves handling requests for the release of public documents and conducting confidentiality assessments. In addition to external service, your duties will also include participating in archival work, developing routines for case and document management, and training and introducing employees to current working methods.

The work is carried out in close collaboration with other functions in the administration, such as committee secretaries, managers, and case officers.

In Östersund Municipality, we currently use the case management system Ciceron. A new procurement of the case management system will take place in 2026.

Your workplace will be at the municipal building in Östersund, where we work activity-based, meaning our employees choose their workplace based on current tasks and needs, rather than having fixed places.

Common Tasks

  • Daily mail opening, physical and digital
  • Handling requests for public documents
  • Diarization
  • Archiving
  • Participation in municipality-wide networks and projects
  • Development of diarization in units within the administration
  • Secretarial work in administrative cooperation groups and possibly other forums
  • Leading internal training initiatives

Your Competence

You have post-secondary education as a registrar or another academic education that the employer finds relevant. Alternatively, you have several years of experience working as a registrar or similar in an authority. You are familiar with diarization and information management. You communicate fluently in Swedish both orally and in writing. You have knowledge of current legislation regarding, for example, the principle of public access, the Local Government Act, the Public Access and Secrecy Act, and data protection legislation. You have good computer skills.

We Are Looking For You

As a person, you are meticulous, structured, outgoing, proactive, and self-sufficient. A service-oriented and positive approach is important, as well as good collaboration skills. You have a pleasant demeanor towards everyone you meet in your role as chief registrar. You enjoy working independently while also being a team player who contributes to a positive atmosphere in the group and workplace.

The Recruitment Process

In this recruitment, we will ask you for an extract from the criminal record.

Interviews may take place on an ongoing basis. We ask that you attach your CV and cover letter to your application. Grades/certificates do not need to be sent with the application; we will ask you to provide them if you reach the interview stage.

Östersund Municipality has considered the choice of advertising channels before advertising and therefore declines calls from recruitment firms and ad sellers.
