Your Everyday Life – Contribute to Coordination, Collaboration, and Efficiency
The Negotiation and Staff Unit belongs to the HR and Communications Department and is a staff function responsible for management support, operational management, employer issues, collaboration, and strategic coordination. The unit works closely with the agency's management and supports both the head of staff and the department head in planning, preparation, and follow-up. The work is carried out in close collaboration with other staff and departments within the agency. In the Negotiation and Staff Unit, we are four employees and one manager. In the entire HR and Communications Department, we are a total of 43 employees. The location is Eskilstuna.
You prioritize and manage preparation flows and have the mandate to say no or postpone matters that do not meet the requirements, and you may represent the head of negotiations and staff in operational coordination issues. As an operations coordinator, your main tasks are:
- Coordinate and drive preparation and decision-making processes within the staff's area of responsibility
- Ensure that decision-making materials are complete, correct, and ready for decision
- Monitor preparation times, referrals, and decision forums and act as a gatekeeper
- Handle and prepare matters for collaboration according to MBL and for the work environment committee
- Represent the staff in cross-agency and cross-departmental projects
- Work with operational planning, follow-up, and coordination
- Contribute to budget, forecast, and follow-up work from an operational perspective
- Coordinate and support the staff's work in preparedness and continuity planning
Remote work agreements are available as an option, which means that if the work allows, it can be done from home or another location by agreement.
Qualifications
We are looking for someone with post-secondary education or university education in administration, social sciences, economics, or equivalent that the employer deems relevant. We want you to have experience in administrative or coordinating work in a staff, secretariat, or equivalent. You should also have experience in compiling materials, following processes, and working in public service or larger organizations. The role requires that you also have experience in preparation and decision-making processes as well as experience in operational planning and financial follow-up. A driver's license is a requirement as well as Swedish citizenship.
It is meritorious if you have education or experience in operational management in public administration. It is also meritorious if you have experience in:
- work from a government agency
- working closely with management and management groups
- project work in a complex organization
- preparedness or continuity work.

About the Employment
The position is a permanent employment with the possibility of a probationary period. The place of employment is Eskilstuna. An employment with us requires Swedish citizenship and involves placement in a security class. A security review with a background check will be conducted before employment in accordance with Chapter 3 of the Security Protection Act.
