About Badrumsbesiktningar AB
Badrumsbesiktningar AB is an independent and specialized inspection company focusing on wet room inspections in Stockholm, Uppsala, Malmö, and Gothenburg. We work daily to help private individuals, housing associations (BRFs), property companies, law firms, and insurance companies ensure the quality of bathrooms and wet rooms, prevent moisture damage, and manage disputes related to bathroom renovations.
Our certified and SBR-approved inspectors perform, among other things:
- bathroom inspections during new construction and renovations,
- wet room inspections during and after bathroom renovations,
- damage inspections in suspected or confirmed moisture damage cases,
- expert assignments in insurance matters, construction disputes, and other technical investigations.
Through our clear specialization in wet rooms, we have built a strong competence and are an established player in the field in Sweden. All handling, bookings, documentation, follow-ups, and financial flows are managed digitally. There is no postal handling, no reception, and no requirement to be located in a specific city.
About the position
We are looking for an Administrative Coordinator / Executive Assistant who wants to play a central role in our operations and contribute to the efficient and professional functioning of our daily work regarding bathroom inspections and damage inspections.
The position entails overall responsibility for:
- administration,
- customer contact and phone,
- planning and booking of inspections,
- email flows and communication,
- basic financial administration,
- and ongoing work with our digital channels and social media.
The work is performed entirely remotely from any location in Sweden. There is also the possibility, by agreement, to work from abroad during certain periods, provided there is a stable internet connection and work during Swedish office hours.
Job responsibilities
Customer contact and phone
- Receive and handle all incoming calls (about 15–30 per weekday, 8 AM–5 PM).
- Answer questions about our services, e.g., bathroom inspection, wet room inspection, damage inspection, and expert assignments.
- Book and reschedule inspections and ensure a professional and secure approach in every contact.
Planning and booking
- Plan and book inspections for our SBR-approved inspectors.
- Structure and optimize calendars for effective workdays and reasonable geographical planning.
- Send booking confirmations and practical information to customers, including BRFs, property companies, and other clients.
- Contact customers before inspections to confirm time and practical details.
Email management and correspondence
- Be responsible for and respond to incoming emails in the company's shared inboxes.
- Monitor the email flows of the manager and, where applicable, employees, and respond to matters that can be handled administratively.
- Ensure that all matters receive prompt and clear feedback, whether it concerns a private individual, a BRF, a property company, a law firm, or an insurance company.
- Follow up to ensure customers have received their inspection reports and understood the information.
- Maintain contact with clients after completed assignments to confirm that the task has been concluded as agreed.
Financial administration and statistics
- Review incoming supplier invoices for reasonableness and correctness.
- Approve invoices according to our procedures and forward them for payment.
- Manage the dialogue with our accounting firm, provide documentation, and supplement when questions arise.
- Ensure that customer invoices are correctly issued, follow up that invoices have been sent to customers, and check that payments have been received according to agreed terms.
Social media and communication
- Publish shorter posts on our social media accounts.
- Monitor incoming comments and messages and respond to simple questions or forward them internally.
- Contribute to strengthening our brand as a serious, specialized player in bathroom inspections.
Other administration and coordination
- Keep track of ongoing assignments, follow-up lists, and reminders.
- Ensure that no matter falls through the cracks.
- Make simpler summaries and reports for the manager and inspectors.
- Remind about important dates, deadlines, and recurring activities.
Qualifications
Requirements
- Excellent command of Swedish in both spoken and written form.
- Experience working with phone, email, and digital tools.
- Good computer skills and confidence in working in various systems.
- Ability to work systematically, prioritize, and handle multiple matters simultaneously.
Meritorious
- Experience in administrative work, coordinator role, customer service, or similar position.
- Experience in basic financial administration.
- Experience working with social media in a professional context.
- Experience with remote work.
- Interest in or experience from construction, property, insurance, or law related to bathroom renovations is a plus, but not a requirement.
