Administrator for the Defense Staff's Exercise Department

The Defense Staff's Exercise Department plans, conducts, evaluates, and follows up on the majority of the larger exercises in which the Armed Forces participate, both nationally and internationally. The Exercise Department supports the Armed Forces' exercise chief in developing central plans and guidelines for the joint exercise activities of the Armed Forces nationally and within NATO, as well as following up and supporting the exercise activities conducted within branches of the armed forces, combat forces, and military regions, as well as at garrisons and units.

The Exercise Department is now seeking an administrator who can also serve as a commander or deputy commander during larger meetings and exercises. You will work with all aspects of administrative support for the Armed Forces' exercise activities. You will support the Exercise Department in administration, command, reporting, planning, execution, evaluation, and development of leadership meetings, conferences, and support to exercise management in connection with exercises at the highest levels within the Armed Forces, namely military strategic and operational levels.

Main Responsibilities

As an administrator in the Exercise Department, you will:

  • carry out daily administrative work to support the department head and sections in the Exercise Department
  • act as an administrator and/or commander/deputy commander during exercises and conferences
  • serve as secretary when required, for example during exercise planning meetings
  • support with visitor registrations and reception of visitors and new employees
  • support the department's employees and managers with work time and vacation planning
  • participate in larger exercises
  • advise managers regarding the development of administrative support in the department.

REQUIREMENTS

Qualifications

  • Several years of current and relevant experience in administrative work close to operations in a larger organization, preferably a government agency
  • Current and relevant experience in providing close support to management
  • Approved high school education
  • Very good ability to express yourself verbally and in writing in Swedish and English
  • Driver's license for passenger car

Personal Qualities

You are service-oriented, flexible, and solution-oriented while being meticulous, stress-resistant, and a team player with good collaboration skills. You can handle uncertainties, changes, and high workloads during periods. You have the ability to prioritize among your tasks in a structured way. It is important that you can manage both routine daily work and switch to a significantly higher pace in situations requiring quick deliveries. You have the ability to work independently, are positive, and possess social skills.

In the selection process, great emphasis will be placed on personal qualities, suitability, and achieved results in previous areas of activity.

DESIRABLE

  • Experience from administrative work at the Armed Forces' headquarters, branch staff, regional staff, regiment, wing, or combat unit staff
  • Experience in administrative work in international missions and operations
  • Experience in planning and organizing larger meetings and conferences
  • Experience working as a commander or deputy commander at larger meetings and exercises
  • Experience working as a meeting secretary and report writer
  • High school education in administration, economics, and service
  • Post-secondary vocational education as an administrator/secretary
  • Military education
  • Training and experience in working with the Armed Forces' command support system PRIO (SAP)
  • Training and experience in working with Microsoft SharePoint
  • Experience working in SWECCIS and IS UNDSÄK

Travel in service may occur as well as work outside regular working hours, especially in connection with exercises and conferences.
The position is classified in a security class, which means that you will undergo a security check before employment. You will also be placed in a war position.
