At the Department of Physics, strong and expanding research is conducted in various fields, such as organic electronics, nanotechnology, photonics, space physics, and theoretical physics. The department is part of KBC, the Chemical-Biological Center at Umeå University. We have a strong focus on interdisciplinary research and excellent access to modern instrumentation and infrastructure for analysis.

Job Responsibilities

As a financial administrator, you will be part of the department's finance group, where you collaborate to solve current tasks in the best possible way. The main responsibilities include financial administration and invoice management. You will prepare and monitor project budgets for research groups, including grants primarily from private and public research funders.

You will participate in the work related to the departmental budget, forecasts, and year-end accounting, as well as perform full cost calculations, financial follow-ups, analyses, and documentation. You will provide qualified support to research groups on financial matters related to applications, regulations, and reporting. Handling travel expenses and reimbursements will also be part of your duties. Additionally, a smaller amount of record-keeping and archive maintenance will be included.

The tasks may change over time and be adapted to the needs of the organization.

Qualifications

We are looking for someone with at least a high school education in finance or equivalent and preferably several years of experience in financial work within a large organization, preferably a university or college. You have experience with administrative systems and good knowledge of the Office suite. You have very good experience using Excel. You have experience in preparing calculations and compiling and presenting data based on the organization's needs.

Experience in financial work within government operations is an advantage. Experience in administering EU projects and other grant projects is also advantageous. Additionally, you have a good ability to express yourself verbally and in writing in both Swedish and English. You have a service-oriented approach, find it easy to collaborate with others both within and outside the organization. You are structured, meticulous, independent, and responsible. We place great emphasis on your personal qualities.

At the department, we have a large number of research groups, each conducting research primarily with external funding, which requires extensive administrative support and reporting. This means you need to take significant responsibility for your work and have the ability to make proper priorities.

Conditions

The position is permanent with 100% workload, starting in January 2026 or by agreement. A probationary period may apply.
