About the Job
As a Facility Coordinator at Four FM, you will be a central part of the client's operations – a global player working with advanced technology and business solutions for international companies. You will act as the hub in daily operations, combining receptionist-related service tasks with operational coordination, and working closely with visitors, employees, and suppliers.
The role is varied, independent, and perfect for you who are passionate about structure, service, and creating a well-functioning and pleasant workplace. You will have the freedom to plan your day, influence the office's service experience, and develop without micromanagement.
Job Description
As a Facility Coordinator, you will combine service, coordination, and office administration. You will serve as the local communication hub between Four FM and the client's representatives and work proactively to create a safe, efficient, and pleasant office environment.
Reception & Office Service
In the role of Facility Coordinator, typical receptionist tasks are a natural and important part of your daily routine. The tasks are broad and involve creating a professional, smooth, and welcoming experience for both employees and visitors.
You:
- Welcome visitors and ensure a professional first impression.
- Support meetings by arranging conference rooms, ensuring technology, and providing refreshments as needed.
- Ensure that office spaces are pleasant, organized, and welcoming.
- Have ongoing responsibility for replenishing consumables.
- Ensure that the reception and office environment maintain a consistently high standard.
- Handle deliveries, shipments, and material orders.
Operations, Coordination & Supplier Contacts
- Be the local contact point between Four FM and the client's organization in daily operations.
- Handle maintenance requests and contact property managers regarding maintenance issues.
- Ensure that the client's local rules, policies, and procedures are followed.
- Coordinate subcontractors and ensure service quality according to agreements.
- Follow up, document, and communicate operational information to relevant parties.
- Collaborate with Four FM's team to develop, coordinate, and improve operations and ensure effective facility management.
- Introduce and support temporary staff during absences (e.g., vacation or illness).
- Participate in planning and executing internal activities such as breakfasts, after-work events, and events.

Qualifications
- Experience in office service, reception, or coordinating roles.
- Fluent in Swedish and English, both spoken and written.
- Good computer skills and experience with Office 365 – preferably with knowledge of Co-pilot.
Working Hours and Employment Rate
Full-time, 100%, working hours: 08:00–17:00.
Permanent employment with a probationary period.
Start Date
As soon as possible or by agreement.
