Economist and Deputy Administrative Manager

The Department of Geological Sciences is part of the Faculty of Science at Stockholm University.

It consists of approximately 80 teachers, researchers, PhD students, and technical/administrative staff. The department conducts a wide range of fundamental and applied research in marine geology and geophysics, geochemistry, and classical geology.

Job Responsibilities

We are now recruiting an experienced economist who also has experience acting in a leadership role for our driven and engaged administrative team. The position entails combining the role of economist with that of the department's Deputy Administrative Manager. You will report to your immediate supervisor, who is the Administrative Manager.

In the role of Deputy Manager and Economist, you will be responsible for the tasks outlined below. Please note that the points below are not necessarily exhaustive and that the tasks may change over time depending on the needs of the organization.

Responsibilities as Deputy Administrative Manager;

  • Secondary review and approval of budgets in connection with researchers' applications for external funding.
  • Secondary review and approval of contracts for externally funded projects.
  • Approve invoices.
  • Lead the department's work with archiving.
  • Prepare the department's annual budget according to the university's budget process and present it to the department's management team and board.
  • Quarterly follow-up and reporting of the department's budget internally and to the faculty.
  • Provide support to the Administrative Manager in the annual closing process.
  • Act as the department's data protection coordinator with associated tasks for the development/maintenance of a systematic approach to data security according to university guidelines.
  • Coordinate/participate in investigations and inquiries initiated by the university.

Responsibilities as an Experienced Economist;

  • Project follow-up and project reporting of external funds for certain specific research projects led by researchers at the department (project reporting, project follow-up, reporting, contract management, event planning, and coordination).
  • If necessary, review budgets in connection with researchers' applications for external funding.
  • If necessary, review contracts for new external assignment funds.
  • Conduct annual inventory of fixed assets together with the department's project economist.

Qualifications

To be qualified for this position, the following is required;

  • A minimum of a bachelor's degree in business administration.
  • At least 2 years of documented leadership experience (manager/project leader).
  • At least 2 years of documented experience working with accounting or auditing (external auditor).
  • Ability to express yourself very well in spoken and written Swedish and English.

Meritorious are;

  • Experience of similar tasks within the public sector with a focus on finance.
  • Experience in budget and forecasting work.

About the Employment

The employment is permanent full-time with a six-month probationary period. Stockholm University applies individual salary setting. Start date as soon as possible by agreement.
