We are now looking for a dedicated staffing administrator who wants to be part of our team at Falu Municipality's Staffing Center. With us, you will have the opportunity to make a difference every day by ensuring efficient personnel management and staffing processes!

The Staffing Center's mission is to recruit and provide substitutes to several operations within the municipality during short-term absences. We daily assign substitutes to various workplaces within several operations. As we are facing an upcoming reorganization in the fall, the tasks in this role may change over time, so it is important that you are flexible and open to change!

Responsibilities

As a staffing administrator, your main task will be to ensure that our various operations always have access to competent and reliable substitutes when the need arises. Your primary responsibility is to mediate and book substitutes for our operations when regular staff are absent, supported by operational systems.

The work is complex and varied and involves many phone calls with different inquiries while you need to piece together the staffing puzzle based on needs, available substitutes, and labor law regulations. We are a support function and must provide good service to our managers and other personnel in the units. Therefore, you will be the primary contact point for both substitutes and operations, which requires good communication skills and the ability to handle different situations professionally. You are also expected to be active and involved in the development of our operations as we constantly work on improvement efforts.

If necessary, you may also work with the recruitment of substitutes.

Qualifications

The following is required for the role:

  • Completed upper secondary education
  • Good ability to express yourself verbally and in writing in Swedish
  • Very good IT skills and experience working in several digital channels and systems simultaneously
  • According to the employer, relevant documented work experience, such as:
    • Experience in operational staffing and substitute mediation
    • Experience as a coordinator, administrator, or team leader in healthcare and social services
    • Relevant experience in customer relations and/or customer service/support work

We are looking for someone who can work in a structured manner in a high-paced environment with many different cases ongoing simultaneously. You are resilient and solution-oriented, and you easily switch between different tasks. As conditions can change rapidly in our operations, it is important that you can quickly adapt and maintain focus and structure in your work. As a person, you are service-oriented and communicative, with the ability to be clear when conveying information. You are stable, have a supportive approach, and thrive in a dynamic environment with varied workloads.

You possess the ability to drive individual assignments and processes where you act on your own initiative and take responsibility for the results. You have the drive and willingness to develop the operations and our working methods and dare to think outside the box and test new ideas. It is a small workgroup that therefore requires good collaboration skills while you contribute to constructive teamwork where you collectively work towards set goals.

The group dynamics in the workgroup are significant, and therefore great emphasis will be placed on personal qualities.

Desirable Qualifications

  • Started or completed academic education in human resources or other education deemed equivalent by the employer
  • Experience working in a service or support function within the public sector
  • Documented experience working in the Medvind system, it may also be interesting if you have worked in other staffing and personnel administrative systems such as Personec, WinLas, or TimeCare
  • Good knowledge of the Working Hours Act

Employment Conditions

Permanent full-time employment with start date according to agreement, the position includes weekend work. A probationary period may be applied.
