INFRA Administrator at the Swedish Armed Forces Headquarters
As an INFRA Administrator at the Swedish Armed Forces Headquarters (HKV), you play an important role in an authority that is experiencing strong growth. Together with competent and engaged colleagues, you will receive responsibility, development, and challenges.
About the Section
The Property Section is responsible for all lease agreements at the Headquarters in Gärdet. We work according to the Swedish Armed Forces' INFRA process, which means we have close cooperation with both the Fortifications Agency & LpLE M (Local Planning Unit M). The property needs are many, and in the role of Project Coordinator/INFRA Administrator, one needs to be both ambitious and driven, as well as skilled at coordinating multiple cases/projects simultaneously. We have a broad area of responsibility in the section, which is considered a service function, including reporting faults, furniture, relocations, and local operational adaptations. We work in several time perspectives; from daily operations to longer projects that extend over years.
Main Responsibilities
The role involves many points of contact such as our operations, contractors/suppliers, landlords & property owners, as all of our properties are leased. You will primarily work in the maintenance phase (i.e., management) but sometimes also with procurement projects (i.e., development). The role also includes tasks such as investigating, producing/creating, and reviewing documentation. Since the role places high demands on communication, both in writing and verbally, you need to be able to express yourself clearly and adapt to the requirements at hand.
A selection of tasks included in this role:
- Lead fire protection work in the roles of fire protection leader within the HKV unit and fire protection coordinator within the Garrison. For example, produce governing documents, routines, training, etc., and ensure compliance.
- Act as support and ordering representative for our operations within the Headquarters and represent our operations towards our partners (Fortifications Agency, property owners, etc.).
- Handle everything from small needs (e.g., a new office chair) to larger projects (e.g., being the ordering party for new leases) simultaneously.
- Represent the Property Section towards operations within our premises and prepare cases for decision for higher managers/decision-makers.
- Lead/participate in project groups.
- Administer and manage orders and needs; produce INFRA documentation, as well as having financial responsibility for your orders and related invoice management, while also coordinating the finances within the section (simpler invoice handling, budget and investment work including follow-up).
- Together with colleagues and the manager, be responsible for local planning, local allocation, and act as relocation manager.
REQUIREMENTS
Qualifications
- Post-secondary education in construction/property or other work experience deemed equivalent by the employer.
- Relevant experience in management or tenant contact (e.g., as a tenant coordinator, facility manager, local/property manager, or another role deemed equivalent by the employer).
- Relevant experience in leading/coordinating SBA.
- Very good knowledge of MS Office (Word, Excel, PowerPoint, and Outlook).
- Very good knowledge of Swedish, both spoken and written.
Personal Qualities
To succeed in the role of Project Coordinator/INFRA Administrator, you need to have/be:
- High delivery and performance capacity, great commitment, results-oriented, and ambitious; be alert and proactive as conditions change and no day is the same with us; meticulous, structured, and clear in your communication/order, and thus feel confident in coordinating independently as well as collaborating with others (both internal and external parties).
- Able to handle a larger number of cases and projects simultaneously, and thus prioritize both independently and together with colleagues and the manager.
- Unpretentious, responsible, and action-oriented - not hesitate to roll up your sleeves and be proactive in finding possible solutions, and structured to manage them. Capacity to make independent decisions when necessary and understanding of guidelines and processes, and thus carefully follow them.
Great emphasis will be placed on personal suitability.
DESIRABLE
- Relevant knowledge and experience of working according to lease agreements and associated boundary lists.
- Relevant experience as an ordering party/coordinator (renovations/local adaptations) or another role deemed equivalent by the employer.

Employment type: Permanent, probationary period of 6 months.
