About the role

Our Investment Projects department, which works on expanding and renovating public transport in Stockholm, is looking for a department coordinator who can assist the department head and the management team with structure, administration, and communication.

Some examples of tasks:

• Ensure that our matters to the Traffic Committee and service statements are ready on time according to plan, in collaboration with Group Managers and Section Managers.
• Prepare various presentation materials.
• Be responsible for the department's document management plan and calendar.
• Assist the department head with Outlook management.
• Be responsible for booking and planning department conferences, department meetings, and management team meetings.
• Practical introduction/termination of employees directly reporting to the department head.
• Manage travel bookings and assist in preparing travel notifications and expense reports, invoice coding.
• Be the main administrator of certain systems.
• Lead improvement proposals within your area of responsibility.

Requirements:

• Several years of experience in administration and coordination in a supportive role for management.
• Good ability to express yourself verbally and in writing in Swedish and English.
• Good knowledge of creating communication materials.

It is advantageous if you have:

• A university degree or vocational training in administration, communication, or marketing, or project management training.

Start date by agreement.
