The Department of Language Studies at Umeå University's Faculty of Humanities conducts education and research in languages, literature, culture, and didactics in English, Finnish, Meänkieli, French, Italian, linguistics, Swedish/Nordic languages, Russian, Sámi, Spanish, German, Swedish as a second language, and Swedish for international students.

Most of the staff at the department are teaching and research personnel. In addition to the department head and deputy head, your closest colleagues in your daily work will be the department's study directors, administrative coordinator, communicator, study advisors, IT administrator, and several study administrators. You will be part of various larger and smaller HR contexts: approximately once a month, all HR employees of the Faculty of Humanities meet to discuss current issues, and there is also an HR network for the entire university's HR functions that meets regularly.

The Department of Language Studies is now seeking a full-time temporary HR Coordinator to start as soon as possible or by agreement, until August 31, 2026.

Job Responsibilities

The work is broad and spans the entire HR field, including both operational and strategic HR work. You will provide management support in strategic and operational HR matters and be responsible for an HR perspective in the organization's strategic development and change work. As an HR Coordinator, you will be part of the department's management team. The main responsibilities include:

  • Planning, coordinating, driving, administering, and quality assuring the department's recruitment and employment processes
  • Providing ongoing advice and support in personnel matters to the head and other staff based on applicable legislation, agreements, and policies/guidelines
  • Coordinating and administering cases to the local collaboration group
  • Planning and introducing new employees
  • Providing support for the department's international employees both before and during their employment
  • Planning, coordinating, and administering rehabilitation processes
  • Planning and conducting rehabilitation meetings and other tripartite meetings together with/as support for the head
  • Planning, coordinating, and administering the department's systematic work environment efforts and work on equal conditions

Your tasks will also include ongoing personnel work such as the administration of intermittent employment. Other administrative tasks may also be included. Responsibilities may change over time depending on the needs of the organization.

Qualifications

We are looking for someone with a degree in Human Resource Management or equivalent education, as well as relevant experience from independent work in the HR field. We also expect you to have good knowledge of laws and agreements in the HR area, as well as very good skills in Swedish, both spoken and written, and good skills in English, both spoken and written. The work requires good computer skills and the ability to learn new administrative systems easily.

To thrive in this position, you should be stimulated by having multiple contact points, assignments, and tasks ongoing simultaneously. You should be able to collaborate easily, have good initiative and planning skills, be able to prioritize among tasks, and have the ability to work independently and take responsibility for your work. It is important that you have high integrity.

Meritorious

  • Experience with similar tasks in public sector work, preferably in higher education.
  • Experience applying the new LAS regulations.
  • Experience working with issues related to equal conditions and work environment.
  • Experience with the e-recruitment system Varbi is an advantage.

Great emphasis will be placed on personal suitability.
