Your tasks
In your role as a committee secretary, you are responsible for leading and coordinating the committee process in the Children and Youth Committee and the Education Committee together with your committee secretary colleague. Your main tasks include:
- Preparing invitations and taking minutes at meetings.
- Compiling and quality reviewing decision materials.
- Planning, organizing, and following up on the committee's meetings and decisions.
- Driving and contributing to improvements in processes and routines related to the committee process.
In your role, you provide important support for administrators and managers in their preparatory work before committee decisions.
The assignment also includes being responsible for or contributing to the department's various assignments together with other experts and specialists. This may include investigative work in the form of independently preparing cases for the committees, managing state grants, coordinating and organizing several central administrative processes, such as goal and operational management within the framework of Linköping Municipality's economic process. In addition to the work with the committees, you are also expected to contribute and support the department's operational support assignments.
Your workplace
The position is located within the Education Administration, which is one of eight administrations in Linköping Municipality. The Operational Support Department is one of the staff departments at the central administrative office and is responsible for overall results and operational follow-up as well as systematic quality work. The main task of the department is to support different levels in the governance chain within the school's systematic quality work and to be responsible for the preparatory processes for both education committees.
Within the department, experts, investigators, and other specialists work to support the Education Administration's operations and management with competencies in investigations, statistics and operational follow-up, analysis, and law.
The workplace is located in central Linköping at Apotekaregatan 13 C.
Who you are
We are looking for someone with a university degree in political science, public administration, law, or equivalent education that the employer assesses as equivalent. We see that you have experience working in public administration as a committee secretary, case coordinator, with investigations, or equivalent that the employer assesses as comparable. If you have experience in similar work as a committee secretary, it is considered an advantage. We see that you have good knowledge of meeting techniques, meeting formalities, municipal and administrative law issues, and knowledge of public access regulations is considered an advantage.
The position requires you to have high digital maturity and preferably experience working with digital committee processes. For the position, you also need to express yourself well in Swedish, both orally and in writing, as the work involves writing and quality assuring various materials and documents.
To thrive in the role, you need to be self-driven in your work and be able to plan and prioritize your work effectively. Furthermore, you need to be meticulous and deliver high quality. Working well with others comes naturally to you, where you listen, communicate, and resolve conflicts constructively. We also see that you are service-oriented and accommodating in your approach and that you have an unpretentious attitude that creates good relationships in both internal and external contacts.
