At Jägersrohälsan in Malmö, we run a primary healthcare centre with high ambitions for patient experience, accessibility, and working environment. Since its launch in autumn 2023, Jägersrohälsan has grown rapidly and established itself as one of Malmö’s highest-rated healthcare centres in the National Patient Survey. The operations currently include a healthcare centre, a branch in central Malmö, Child Health Services (BVC), and a midwife clinic. The next step is continued growth in Malmö!
About the role
In the role of Executive Assistant, you have a central function in the operations and work closely with the Operations Manager, providing both operational and administrative support. The role is broad and includes, among other things, personnel planning, scheduling, administration, follow-up, and quality assurance in our operational systems.
You are responsible for planning and administering staffing, handling time reports, and contributing to efficient resource planning based on the operations' needs. As a system administrator, you are also responsible for permissions, user support, and administration in our operational and medical record systems, and serve as the contact person for system suppliers and internal support functions.
The role involves many points of contact where you are an important support for both managers and employees. You work independently, take responsibility for developing and streamlining administrative processes, and contribute to shared working methods that create structure and quality in the operations.

You are responsible for:
- Providing administrative support to the Operations Manager and management functions
- Planning and administering staffing, scheduling, and time reports
- Administering permissions and functioning as a system administrator in the operation's IT and medical record systems
- Ensuring quality in registrations, follow-ups, and other personnel administration
- Being a support for managers and employees in administrative matters and system usage
- Participating in the development and streamlining of administrative processes and working methods
- Collaborating with the operation's different professional groups to create a well-functioning organization
Your qualifications:

You work independently, take responsibility for your tasks, and have good collaboration skills. You thrive in a varied role where you handle several parallel processes and find it easy to prioritize when the pace is fast.
We would appreciate if you have experience in administrative work within healthcare, personnel planning, and scheduling, as well as good system proficiency. Experience with PMO, Lissy, PASiS, and other operational or personnel systems is a requirement. However, the most important thing for us is that you have an interest in digital working methods, a development-oriented attitude, and a desire to contribute to an efficient and well-functioning operation.
You must share our values regarding patient safety, accessibility, privacy, infection control, and emergency preparedness.

Meritorious:
- Experience with the personnel systems Planday and HaileyHR
- Experience working at a privately run healthcare centre within Region Skåne
- Experience working as a system administrator

Employment
The position is full-time with a 6-month probationary period. Start date August 1st or later as agreed.
