The institution's administrative unit consists of a team of eight employees who together are responsible for support services in areas such as finance, communication, personnel administration, and educational administration. The unit's assignment is diverse and strategically important, which places demands on a broad competence base within the work group to effectively meet the institution's varying needs.

Job Description and Responsibilities

As Administrative Manager, you lead, coordinate, and develop the administrative work within the operations and have personnel responsibility for the administrative unit. You are responsible for ensuring and further developing efficient administrative processes throughout the organization, including research, education, collaboration, communication, finance, and HR.

In close collaboration with the Dean and the Division Director, you are responsible for management-level planning and actively participate in the institution's strategic work. You are part of the institution's management team, report to the Dean, and prepare and present matters for the Institution Board. Furthermore, you represent the institution in relevant contexts and networks and collaborate with other administrative managers within Lund University.

You have formal managerial, budget, and work environment responsibility for the administrative operations and serve as a support to other managers within the institution. Since the administrative unit is relatively small, the position consists largely of operational work, such as reviewing contracts, financial documentation, and financial work within EU projects and other larger projects.

The division's assignment is broad, which places demands on diverse competence within the work group. This includes contributing with relevant analyses and consultative support in both operational questions and development work.

  • Personnel responsibility and overall personnel planning for the administrative staff.
  • Planning and follow-up of the administration business area.
  • Coordinate, find synergies, and develop the combined administration.
  • Work environment issues.
  • Participate in relevant internal and external LU networks.
  • The work involves collaboration at all levels and within a number of different networks within Lund University where you are expected to participate actively.
  • Compile the institution's joint financial reporting.
  • Work operationally with the institution's finances.
  • Be the contact person for questions regarding finance.

Qualifications

Requirements for the employment are:

  • University or college education in economics.
  • Managerial and leadership experience.
  • Experience of budget work and accounting, knowledge of and/or experience with personnel and work environment issues.
  • Good ability and experience in creating a good work environment.
  • Experience and ability to work with administrative systems within finance.
  • Very good skills in Swedish and English, both spoken and written.

Meritorious qualifications for the employment are:

  • Formal leadership training.
  • Experience of EU projects and other financial processes within the public/state sector.
  • Experience of leading change work and experience of work within the public/state sector.
  • Experience of work within university/higher education.
  • Documented good communication skills.
  • Documented good collaboration skills.
  • Documented good prioritization skills.

We are looking for an experienced leader with a broad administrative and economic background. You are communicative and receptive and understand the importance of having a close dialogue with operations and staff. You have the ability to see the big picture, create common goals, and drive and develop a support function in an academic organization. You are resilient, flexible, and have high integrity.

We are looking for you who have the drive to develop purposeful support functions that are integrated into both daily work and planning and decision-making processes. The role requires a good understanding of HR and finance areas as well as the ability to view the assignment from a holistic perspective.

You have extensive work experience, work in a structured manner, and can translate long-term goals into concrete working methods. You are a clear and analytical leader who builds trusting relationships, works long-term, and follows up on results in a constructive way.

Great emphasis is placed on personal qualities. You are communicative, proactive, and have good collaboration skills as well as the ability, through your competence and understanding of the interaction between academia and administration, to strengthen and develop the operations.

Conditions

The employment is permanent at 100%. Probationary employment may apply.

During the summer period, the operations will have limited ability to answer questions from applicants.

First interviews are planned for week 35.
