About the Position

We are looking for a Conference Host for a government agency! In this role, you will be responsible for managing bookings and emails in Outlook, ordering and invoicing refreshments, and ensuring that conference and meeting rooms are in order. You will prepare the venues for meetings, assist participants with entry, and manage access cards. The work also involves basic dish management and informing participants about emergency exits and house rules according to current procedures.

The position includes the following tasks:

  • Manage Microsoft Outlook, such as registering bookings and responding to emails regarding bookings
  • Handle the ordering of pastries or other refreshments, as well as invoicing received orders, according to current procedures
  • Arrange and keep conference rooms and meeting rooms clean
  • Prepare for bookings in the conference rooms/meeting rooms, such as providing glasses and water/sparkling water or notepads and pens for all participants.
  • Assist with entry to the venues
  • Manage printing, administration, and collection of access cards from participants
  • Operate the dishwasher, collect dishes, and wash
  • Inform participants about emergency exits/assembly points and house rules, according to current procedures.

Assignment Period and Scope:

The position of Conference Host is a part-time consulting assignment (75%), approximately 30 hours per week, starting immediately as agreed and is expected to last for one year. There is a possibility for extension.

Working hours are generally Monday to Thursday from 07:30 to 15:30 and Friday from 07:30 to 11:30, excluding holidays. For certain larger courses/bookings, working hours may be adjusted.

Requirements for the Position:

  • High school diploma or equivalent education
  • At least three (3) years of experience working in service such as reception, conference, tourism, or retail.
  • Good knowledge of MS Office or equivalent
  • Ability to communicate fluently in Swedish, both verbally and in writing
  • Swedish citizenship

The consultant should be structured and organized and have an understanding of the unique needs of visitors. The consultant needs to thrive in a dynamic environment and should adopt a welcoming attitude, being able to solve problems and work independently with their own drive.

Security-Classified Assignment

Please note that this assignment is security-classified, as the agency conducts security-sensitive operations. A security screening, including a background check, will therefore be conducted on the final candidate. The candidate will also undergo a security clearance process.
