Staffing Planner at SiS Youth Home Hässleholm

The Swedish National Board of Institutional Care, SiS, is an authority responsible for individually tailored compulsory care for youth with complex psychosocial issues and for adults with substance abuse. SiS also implements secure youth care. We do this in youth homes and homes for adults with substance abuse across the country. At SiS, your work life will be an exciting challenge. SiS Youth Home Hässleholm is a locked institution with four treatment departments, two departments for reception and needs assessment (MBB), and an open TFCO unit. We primarily receive school-age boys but also girls, who are involved in ongoing criminal activities and in some cases substance abuse.

SiS Youth Home Hässleholm has the opportunity to expand with an additional staffing planner, so we are now looking for someone to complement the one we already have in place!

Our operations requiring staffing planning consist of approximately 100 permanent treatment staff distributed across 6 departments plus a night department that works throughout the institution, as well as our newly started department Karlsvik in Höör with 6 places. In addition, we also have about 100 hourly employees working throughout the facility.

Since you will now be two with the same assignment, you will be responsible for half of the departments each. However, the role requires close collaboration between you, and during absences and other leave, you will be responsible for all planning. You will work daily to fill vacancies and coordinate needs with our hourly employees or redistribute permanent staff between departments. Additionally, you and your colleague will work on strategic staffing planning in the longer term, often together with the person coordinating our training.

The role requires you to have close collaboration with administrators, operational leaders, and unit managers.

Main Responsibilities:

  • Act as the institution's expert on our staffing planning system Besched and Netwic.
  • Overall responsibility for filling vacancies in 4 of 8 departments together with unit managers and group leaders, including entering shifts in Besched.
  • Continuously plan and staff the institution's departments with treatment staff as needs arise, for example, due to increased staffing needs, sick leave, parental leave, vacation, or other absences.
  • Plan for filling summer vacation vacancies together with managers and administrative staff.
  • All deviations in Besched such as; administering shifts, overtime, sick leave, absences, etc., to ensure employees receive correct pay.
  • Scheduling, for example, rolling out employees on the schedule, changing schedule rows as needed, and creating customized schedules for rehabilitation and temporary part-time work.
  • Work with strategic staffing at the institution.
  • Ensure that overtime at the institution is kept to a minimum during your working hours; irregular hours are the responsibility of the on-call manager.

Qualifications:

  • Minimum high school diploma
  • Experience in staffing and personnel administration within similar operations
  • Very strong computer skills and experience working in various systems
  • Experience in scheduling/planning schedules
  • Knowledge of legislation governing working hours and working conditions

It is advantageous if you have:

  • Further education in a relevant field for the position
  • Experience with the Besched system
  • Experience with the Netwic system

The most important aspect of the role is your ability to create an overview of the whole and to quickly gain overall control of the staffing situation. As the need for staff can change rapidly, you must be flexible and able to independently structure and prioritize your work.

You will work closely with your staffing planner colleague and many other functions where you need to coordinate the various staffing needs of all departments, so being communicative and pedagogical in how you converse is extremely important.

You need to have the ability to anticipate upcoming needs based on previous planning and have a constant ear to the operations.

Employment:

The position is a permanent full-time position and begins with a six-month probationary period. Start date according to agreement.

Working hours are Monday to Friday approximately 07:30 - 16:00; we have flexible working hours, but the needs of the operation dictate when you need to be present.
