System Administrator for Malmö Lär
Now you have the chance to be involved from the start in the development of Malmö city's new, city-wide function for coordination, support, and assistance for Malmö Lär!
HR-service is recruiting two system administrators for an exciting assignment where you will work in dynamic contexts and become a key function in the joint effort to develop, coordinate, and support digital learning and competence development throughout Malmö city. Together with two education coordinators, you will form the foundation for the centralized Malmö Lär function at HR-service.
Malmö Lär is a city-wide learning platform that gathers all training and internal competence development in one system – a so-called Learning Management System. The purpose of Malmö Lär is to facilitate, make accessible, systematize, and streamline competence development and learning within Malmö city's organization. The city-wide function will help Malmö city's administrations jointly and more quickly achieve the effect goals set in connection with the implementation of Malmö Lär in the organization.
Job Responsibilities
As a system administrator for Malmö Lär, you will work with a colleague to provide first-line support for the city's employees and managers. You will help users navigate the system, answer questions, and ensure equal support across the organization. Users can reach Malmö Lär support via phone and HR-service's case management system.
When you are not working on support cases, you will work on administrative tasks where you develop and update support materials, manuals, and checklists related to Malmö Lär. Your role may also include creating materials for short instructional videos that facilitate the use of the system for managers and employees.
You will also contribute to the development of internal and city-wide working methods related to Malmö Lär. With your expertise in the system's functionality, you will contribute to the system's development in dialogue with education coordinators, system administrators, and system managers. In your role, you will work closely with your colleagues at HR-service who work as education coordinators for Malmö Lär.
Other important contact points for the centralized function are the administrations' learning editorial teams and city-wide functions such as the system manager/system administrator for Malmö Lär and HR specialists at the city office focused on competence supply and learning.
As a central part of your introduction, you will receive in-depth training in the system Totara, which in Malmö city is called Malmö Lär, through our system provider Aleido.
Qualifications
We are looking for someone who enjoys a service-oriented role and is engaged by the opportunity to help build a new function and develop new working methods. The work will involve daily contact with employees and managers in Malmö city's organization, which places high demands on good service ability, clear communication, and solution focus. The assignment requires good pedagogical and communicative skills, where you can clearly and user-friendly explain systems, functions, and working methods to different target groups. It is crucial that you can work in a structured manner and that you independently have the ability to plan, prioritize, and follow up on several parallel tasks. To succeed in your assignment, you need to collaborate easily in a group where you are actively expected to contribute to the development of common working methods related to Malmö Lär.
We are looking for someone who has:
- Post-secondary education in IT, system science, pedagogy, HR, digital learning, or another relevant field.
- Very good digital skills and competence in digital systems.
- Work experience from support activities where you have worked to guide/provide support to users of IT systems, via phone/digital forms.
- Good ability to communicate in Swedish, both spoken and written.
It is meritorious if you also have:
- Experience in developing and updating user support, manuals, and instructions aimed at system users.
- Experience with Learning Management Systems and/or other operational IT systems.
- Experience working with support in a larger organization with many users.
About the Workplace
HR-service is Malmö city's centralized HR operation and is part of the joint HR function within Malmö city. The operation is organized into four sections: Payroll & Pension, Education & Support, System Administration & Permissions, and Internal Consultants. You will belong to the Internal Consultants section, where you will be part of a competent and dedicated specialist team. The section consists of about 12 employees who work with broad assignments within HR and communication. Together, we work in a fast-paced environment with interesting and varied city-wide assignments.
HR-service is part of the Department of Municipal Services at the Service Administration. Municipal Services has over 600 employees in six different operational areas with the mission to provide qualitative, sustainable, and cost-effective services to Malmö city's administrations and to the residents of Malmö.
The Service Administration is divided into five departments and offers everything from transport services to IT and responding to citizens in Malmö city's contact center. We maintain streets, parks, green areas, and beaches, manage all of Malmö city's buildings, and ensure that our school students receive good and nutritious food. Together, we are a smart service partner to the city.
