In the role of office coordinator, you have overall responsibility for the Swedish Security Service's regional offices in Linköping and Örebro, and you are a link between the head office in Solna and the regional offices.

You are the contact person for property owners and local contractors, and you are responsible for ensuring that they carry out their assignments in accordance with the authority's agreements. This includes orders, fault reports, and coordination with the head office in Solna. You also coordinate and guide contractors within the framework of the assignment.

Your main tasks include daily management of common office tasks such as mail handling, maintenance and refilling of coffee machines, access control, and handling visitor logs. You coordinate cross-agency issues related to office services such as wellness issues and distribution of materials.

Furthermore, you ensure that the office is in good condition, order and are responsible for service work, and handle fault reports against the property owner's operations and management organization. You participate and contribute to the adaptation of premises and are responsible for the purchase of office supplies and consumables. Your tasks also include coordinating visits from the authority's other offices and booking and planning local events and meetings.

Your placement is at our regional office in Linköping, but you also have responsibility for our regional office in Örebro. Domestic travel may occur.

The qualifications we are looking for

  • Several years of experience in similar tasks within office services/facility management
  • High school education
  • Experience in purchasing, procurement, and contractual matters
  • Experience in setting requirements for contractors
  • Driver's license (B)
  • Good IT skills as a user
  • Good ability to communicate in Swedish and English, both orally and in writing

If you are applying, you may also have competencies that add breadth and complementary perspectives. If you can contribute something or several of the following, it is meritorious:

  • Education in facility management, hotel management, economics, or another area that the Swedish Security Service deems relevant for the position.
  • Knowledge of LOU/LUFS
  • Experience with access control and burglary alarm systems
  • Experience with SBA (systematic fire protection work)
  • Experience in hotel operations

The Swedish Security Service places high demands on security and confidentiality; therefore, we expect you to have a high security awareness.
