Purchasing Unit Seeks E-commerce Coordinator

We are strengthening the purchasing unit with an e-commerce coordinator who, together with other employees, will continue the work of developing the Swedish Environmental Protection Agency's procurement. Do you want to be part of our development journey?

The purchasing unit conducts procurements, assists in various purchasing issues, and manages supplier relationships in close collaboration with the organization. The majority of our agreements concern services. E-commerce has been an important part of the unit's mission for over three years, and our ambition is for as much as possible of the agency's procurement to go through the e-commerce flow, and today about a quarter does. As one of our two colleagues working with e-commerce is moving on to other assignments, we are looking for a replacement. We expect you to come to us with full focus and a willingness to contribute. Your Responsibilities

You will work both strategically and operationally in a varied role in a very exciting organization.

  • Your main responsibilities will be to plan, drive, and follow up on the continued development of the agency's e-commerce. In dialogue with purchasers, orderers, and other parts of the organization, you will develop plans for the work, identify the agreements and suppliers to be included in e-commerce, and how the purchases should be made.
  • You will develop and manage governing documents, processes, and metrics related to e-commerce and participate in the work of integrating e-commerce with other purchasing activities, such as requirement specification, contract management, and financial follow-up. You will communicate, anchor, educate, and follow up within the e-commerce area and will also be involved in other development work within the unit.
  • You will project manage the implementation of agreements in the Swedish Environmental Protection Agency's e-commerce system (where we currently use Visma Proceedo via the State Service Center), where supplier connections as well as other administration related to this are part of the work.
  • To some extent, you may also handle support cases related to e-commerce issues.
  • Gradually, you will take on greater responsibility for conducting spend analyses, including creating conditions for effective data capture and developing key figures related to the agency's procurement.
  • The work is carried out together with colleagues with different competencies within the unit and the rest of the agency, as well as towards our suppliers. You will work particularly closely with the colleague in your unit who also works in the e-commerce flow with supplier connections and training.

Your Competence

Requirements for Employment

  • Several years of experience in practically leading/coordinating e-commerce work in an organization that has made some progress in its e-commerce maturity.
  • Experience in project management and process-oriented work.
  • An academic education in, for example, economics, law, technology, or equivalent, or equivalent knowledge acquired in other ways, such as vocational training in procurement/purchasing.
  • Good computer skills and knowledge of Office 365 as work tools, primarily Word and Excel.
  • Ability to express yourself well in Swedish, both in writing and verbally.

It is meritorious to have experience in:

  • E-commerce via Visma Proceedo.
  • E-commerce in the public sector.
  • Working with e-commerce in an organization with a large proportion of service purchases.
  • Managing connections between e-commerce systems and agreements in the digital procurement tool TendSign.
  • Managing connections between e-commerce systems and agreements in the digital procurement tool e-Avrop.
  • Working with spend analyses, e.g., as a purchasing analyst.
  • Developing key figures in purchasing with data capture through the e-commerce system.

Personal Qualities

Great emphasis will be placed on personal qualities as the work involves many contacts within and outside the agency.

You plan, organize, and prioritize your tasks effectively and work methodically. You are proactive and can work independently, even without pre-established routines or guidance. You have good communication and pedagogical skills, where you communicate clearly and engagingly, and you find it easy to build good relationships. You contribute to and implement new ideas and solutions based on the organization's needs and conditions.

You have an unpretentious and service-oriented approach, you ask for help when needed, and collaborate with and support others in a responsive and smooth manner.

About the Employment

The position is a permanent full-time employment. The place of employment is Stockholm or Östersund. Start date as soon as possible by agreement.

The Swedish Environmental Protection Agency wants to offer a flexible working method with the possibility of remote work up to 50% of the working time. We strive for an efficient operation and a sustainable working life.

We apply a six-month probationary period.
