Our Operations
The position of area coordinator is located within the unit for administrative services. The unit has about ten employees who work with management support, operational support, and overarching administrative issues. We sit together in the management and support function's premises where we work activity-based.
Akademiska Hospital is organizationally divided into six areas, each with its area manager. Three area coordinators support the area level, and the position that is now vacant primarily works with area 3 and area 4:
- Area 3 includes the following areas of operation: Ambulance and emergency care, Geriatrics, rehabilitation medicine and pain center, Infectious diseases, Medicine, dermatology and rheumatology, and Palliative care.
- Area 4 includes: Akademiska Children's Hospital, Violence in close relationships and sexual violence, and Women's health care.
Your Assignment
The position of area coordinator involves providing management support at the area level, handling personnel and financial administration, information and document management, as well as communication and coordination. Additionally, you will be involved in limited projects and assignments, for example as a project administrator or to independently investigate and propose solutions on a matter. As an area coordinator, you will work closely with area managers and other area coordinators, as well as with colleagues in other support functions and core operations.
Management Support
- Be a support to the area manager in daily work, including coordinating calendars, meetings and activities, coordinating various issues and matters, agenda planning, connecting meeting participants, handling emails, and writing meeting notes.
- Assist the area manager in preparing materials, reports, and statistics, as well as presentation materials. Process and follow up on overarching decisions, agreements, and procurements according to existing routines.
Personnel and Financial Administration
- Personnel and financial administration in operational systems.
- Process collaboration issues in cooperation with the manager and HR.
- Coordinate recruitment and introduction for managers reporting to the area manager.
Communication and Coordination
- Coordinate, compile, and disseminate management information within the area.
- Be responsible for keeping the area's communication site in SharePoint updated and following the agreed structure.
- Be responsible for a network for information, experience exchange, and development issues related to administrative roles.
Information and Document Management
- Archive manager, which includes ensuring that the area's documents are managed according to the hospital's document management plan.
- Participate in developing and managing administrative governing documents and routines.
- Data protection contact person with coordinating responsibility to convey knowledge about GDPR to relevant roles within the area.
- Provide support in Microsoft 365, especially SharePoint according to the hospital's established structure, to designated administrative roles.
Your Qualifications
For the role of area coordinator, a minimum of a high school education is required. Higher education or further education in administration is an advantage. You have very good knowledge of Swedish in both spoken and written form, the Microsoft 365 package, and a high level of digital maturity.
Previous experience in administration, management support, and coordination is very important.
Your Competence
The role requires a high degree of integrity, the ability to work structured and independently, and the ability to drive and develop the work. You are quality-conscious and service-oriented, have communication and networking skills, and very good collaboration ability. Furthermore, the role requires being solution-focused, able to handle parallel processes, having good prioritization skills, and taking initiative, sometimes in a fast-paced environment. To thrive in the role, you also need to be adaptable to changing circumstances and willing to contribute to developing new working methods and routines.
