About the Position

The Employment and Welfare unit belongs to the Upper Secondary School and Labor Market Administration in Huddinge Municipality, which works with financial assistance and the municipality's labor market initiatives. We are now looking for an additional administrator for financial assistance, the Reception Unit, and the Planning Unit. The units work partly with receiving applications, conducting initial investigations, assessing the right to financial assistance, and establishing plans for self-sufficiency.

The office is centrally located in Huddinge center, close to commuter trains and bus stations.

Job Responsibilities

The job responsibilities vary and include among others;

  • Purchasing, orders, and contact with suppliers
  • Reviewing and coding invoices
  • Personnel administration, including drafting employment contracts
  • Establishing, administering, and following up on lease agreements
  • Rent invoicing and handling rental-related issues
  • Managing incoming and outgoing payments
  • Mail and email management
  • Scanning incoming documents, document management, and archiving

You will have ongoing contact with managers, staff, and other internal/external parties.

You will work with the various administrative systems of the organization such as Heroma, Proceedo, and Lifecare. Experience in handling these or similar systems, or documented good ability to take on similar tasks is therefore meritorious.

Who Are You?

We are looking for someone who has;

  • Secondary education and further education in administration, economics, IT, payroll, and/or personnel issues.
  • Several years of documented experience in administrative work.
  • Good ability to work with operational support, municipal IT systems, such as financial systems, personnel, and property systems.
  • Good knowledge of the Swedish language in both spoken and written form. You should be able to express yourself correctly and clearly in writing and speech.

It is an advantage if you have experience in social services as a field.

The work requires that you can familiarize yourself with and easily handle various IT systems as well as knowledge in Excel and the Office suite – for follow-up, invoicing, and document management.

As a person, you are meticulous, flexible, structured, responsible, a good organizer, driven, and can handle multiple tasks simultaneously. It is important that you can plan and prioritize between different tasks.

Since you will have ongoing contact with managers, staff, and other internal/external parties, you are expected to have a good sense of service. You can work independently but also easily collaborate with others within the administration.

A good initiative is welcomed, to see what needs to be done and act proactively. You can also identify areas for development, take the initiative for changes and improvements, and dare to challenge for development and simplicity based on emerging needs and requirements.
