Registrar at the Discrimination Ombudsman (DO)
The Discrimination Ombudsman (DO) works for a society free from discrimination and for those who have been discriminated against to receive redress. DO is a growing authority and is expected to grow further in the coming years as a result of the Swedish implementation of the EU directive on pay transparency. DO is now looking for an engaged registrar who wants to contribute to this important work.
As a registrar
you will play a key role in the authority's work with information management. You will have the opportunity to contribute to the further development of DO's routines and working methods in the area.
You will be employed in the infrastructure section and report to the head of the section.
The Unit
The operational support unit consists of three sections: economy and procurement, HR, and infrastructure. The unit's mission is to support the authority in having a professional, functional, and efficient operation with well-functioning processes that comply with applicable regulations.
Your Tasks
Your tasks within information management at the authority's registry include both ongoing work and development work. The registrar has a central role in the work.
Ongoing tasks include, for example, mail handling, record keeping, archiving, retrieval of documents, and keeping documents organized. You will respond to phone calls and emails from the public. An important part is also to provide support to the authority's employees in internal matters regarding registration and archiving and to produce certain case statistics.
The registrars coordinate all requests for public documents that come to the authority. The majority of confidentiality reviews, masking, and disclosure of public documents are also handled by the registrar.
In the role of registrar, you will work on development within your area of responsibility, including refining routines and finding new modern solutions within the work processes that exist within the registry at DO.
Collaboration and many contacts both internally within the authority and with those who contact DO are a natural part of the work.
Requirements
We are looking for someone with:
- high school diploma
- education in registrar work and document management combined with practical experience or academic education that DO deems relevant for this position
- several years of current experience working as a registrar in the public sector
- several years of current experience working in record-keeping systems and with digital case management
- good knowledge of the laws and regulations governing public operations and the function and responsibility of the registry
- good knowledge of the MS Office suite
- very good knowledge of Swedish in speech and writing
- good knowledge of English in speech and writing
You should:
- be able to provide good service and support to employees and the public
- be meticulous and structured
- have the ability to inspire trust and have high integrity
- be able to work independently and have very good collaborative skills
- be solution- and development-oriented
- have the ability to switch between different tasks and levels of difficulty
- be able to handle a sometimes high workload in a dynamic environment
- have excellent communication skills in speech and writing
- have a high degree of integrity and treat people with respect
Meritorious
• experience of similar tasks in a government agency
• experience in operational and routine development within registry and archiving
• experience in confidentiality review when requesting the disclosure of public documents

Great emphasis will be placed on personal abilities.
The Position
is a permanent position with a six-month probationary period. Start as soon as possible by agreement.

We should also, through advice and other means, assist those who have been subjected to discrimination in asserting their rights.
