Payroll Coordinator

You will be the link between HR, Finance, external partners, and local authorities, contributing to maintaining our high standards in payroll, tax, insurance, and labor law worldwide.

About the role and team

You will be part of a small, dedicated team of three within Finance, working closely with HR. Your main focus will be to manage payroll processes and collaborate with HR administration in Sweden while coordinating outsourced payroll for our international companies. This includes being the primary contact for external payroll providers, supporting the startup in new countries, ensuring compliance, and driving improvement initiatives. The role offers a unique opportunity to work with complex payroll processes and global expansion projects in a dynamic and international environment.

Main responsibilities

Sweden: Collaborate with payroll specialists, ensure accurate reporting to authorities, support HR in matters related to employment conditions and benefits, and contribute to process improvements.
International: Be the primary contact for external payroll providers in several countries, ensure compliance, review reports, and support establishment in new markets.
Controlling & reporting: Conduct monthly reconciliations, contribute to budgeting and cost analyses, and drive improvements in routines and processes.
Cross-functional collaboration: Work closely with HR, Finance, Legal/Tax, and external advisors to ensure smooth and compliant processes globally.

Who are you?

We are looking for a confident and experienced Payroll Economist or Payroll Specialist/Coordinator who thrives in a collaborative environment with high demands for integrity and quality. You take initiative, have strong analytical skills, and take pride in delivering high-standard work. You are accustomed to taking responsibility and enjoy working with both Swedish and international entities.

Your background

Experience
• At least 5 years of experience in Payroll, HR Operations, or Finance.
• Experience coordinating international payroll or working in multinational environments.
• Good understanding of Swedish labor law, taxation, and social security.
• Experience with establishments in new countries (jurisdictions, registrations, etc.) is highly desirable.
• Familiarity with outsourced payroll arrangements is an advantage.

Skills
• Excellent analytical skills and understanding of both HR and Finance.
• Structured, responsible, and solution-oriented.
• Very good communication skills in Swedish and English.
• Comfortable handling confidential information.

Technical skills
• Advanced Excel skills (pivot tables, lookup functions, data validation).
• Experience with payroll systems (Hogia, SD Worx, Flex HRM, Visma, or similar).
• Experience with HR systems (Workday, Sympa, CatalystOne, etc.).
• Knowledge of Power BI or other reporting tools is a plus.
