About the workplace

The Education Administration in the City of Stockholm is Sweden's largest municipal administration, with nearly 17,000 employees and about 170 municipal primary and secondary schools.

The Department for Development and Coordination is one of four support departments within the Education Administration in the City of Stockholm. The department is responsible for supporting the city's educational activities with information and communication technology, as well as coordinating and developing portfolio management for the educational activities. The department also contributes support in research and development for education based on scientific principles, as well as evaluation, statistics, and analysis.

The Unit for Digital Administrative Support is tasked with ensuring accessible and secure digital support based on identified needs within the objects that primarily support the administrative processes of the activities. The unit is also responsible for supporting and collaborating within the portfolio with a focus on development, operational benefit, security, and cost-effectiveness. The unit works to manage and drive ongoing operational work, such as maintenance, user support, testing, and contract follow-up based on common working methods and established processes, as well as collaborating within the city regarding IT infrastructure related to the portfolio's assignments.

The unit has 18 employees.

Job Description

The Unit for Digital Administrative Support is looking for an IT Object Specialist who wants to manage and further develop today's and tomorrow's services within the City’s Educational Activities. Within your area of responsibility, you will act as a qualified purchaser of IT services and contribute to continuous improvements.

Your responsibilities include being a central part of the operational work within management governance, daily operations & maintenance, and change management. You will prepare proposals, develop, and implement the object management plan based on the needs of the activities and taking into account the existing IT environment. This will be done in close collaboration between you as the IT object specialist and operationally close object specialists. You will also participate in projects and other assignments within your area of expertise and responsibility.

You will follow up and report status and deviations and coordinate work with incidents, problems, changes, testing, and releases. You are responsible for ensuring that defined guidelines are followed and that system documentation is written and updated. You will also ensure that technical specifications are available before the start of change activities and that technical system tests are conducted for deliveries from IT partners before release. The introduction of new functions and integrations with other systems is common.

In addition to this, you will:

  • Identify, establish, and follow up service levels in delivery from suppliers
  • Collaborate with suppliers, the operations, and other system administrators
  • Lead and/or participate in development and implementation projects
  • Monitor the external environment and develop and disseminate knowledge about the unit's working methods within management work

Skills and Experience We Are Looking For

To apply for the position, we want you to have:

  • A degree or equivalent education that we assess as relevant to the tasks
  • Several years of current experience working with system management in a purchasing role
  • Experience working process-oriented with IT development issues
  • Experience working in a team, for example, with business development using IT
  • Experience writing and following up system documentation
  • Experience handling incidents, problems, changes, and releases within system management

It is a merit if you have:

  • Worked with management models such as PM3 and ITIL and project management models, such as Lilla Ratten
  • Previous experience in assignments within public/municipal activities
  • Experience working in the education sector
