The Gothenburg Primary School Administration is one of the largest school administrations in Sweden. We are responsible for the city's municipal schools from preschool class to year nine, adapted primary school, culture school, and after-school care. The administration has 138 municipal primary schools where nearly 47,000 students attend school every day. The entire administration has about 9,700 employees who work together to develop and manage the operation - together we pave the way for the school of the future.

JOB RESPONSIBILITIES
"It’s an early weekday morning, you set off for work. Once inside the office, you review the sick leave for the day, deciding whether we can manage the absence with internal staff or if we need to contact the staffing unit. Once the upcoming days are under control, you tackle administrative tasks such as invoicing, writing a guide for a new system that will help our employees. In your calendar, you have a scheduled visit to a school, and you also take the opportunity to assist a colleague with their new work phone. You feel at home in an environment where you take great personal responsibility, work independently, but are an important part of a team. You thrive on taking your own initiatives and get a lot done, but you also look forward to receiving new directives or bouncing new ideas off colleagues or unit managers. You are driven by engagement, service, and precision."
Do you recognize yourself in this description? Then you might be the one we are looking for. MLV (Meals, Cleaning, Maintenance) Nordost is now looking for an administrator who wants to develop the operation together with us.
Primarily, you will be responsible for providing service and support in the daily work to the units and unit managers in Nordost. You will work daily with short-term staffing for some of our units' school kitchens together with a colleague. As an administrator, you contribute proactive and effective support in several administrative processes to our unit managers and units. You will be a cohesive link regarding facility issues and tasks related to the workplace office such as orders, mail handling, and systematic fire safety work.
A large part of the tasks involves personnel and payroll administration. You will work with financial administration such as orders according to agreements, smaller procurements, invoicing, and some coding of invoices. The position also includes administrative support to MLV's employees at the schools, for example, by showing how Personec works, handling phone calls, and providing support during internal training of various kinds.
The workplace offers an environment with engaged employees driven by interest in sustainable development and health and environmental issues. Work at the units is conducted at a relatively high pace and often with tight deadlines. You will have close cooperation with administrators and coordinators in the organization where you, together with unit managers and employees, ensure quality and develop the operation.
QUALIFICATIONS
We are looking for someone with a high school education and at least one year of documented qualified experience in the role of administrator. You have previously worked with administrative support to managers and employees. You have experience working with and managing several different IT systems. You also have good knowledge of the Office suite. It is an advantage if you have experience working in Personec. Your ability to express yourself both verbally and in writing in Swedish must also be good. Post-secondary education, preferably in administration, is an advantage.
We place great emphasis on your personal qualities and are looking for someone who can stay one step ahead, enjoys providing service and support, is self-driven, collaborative, flexible, and can take initiative. You are responsible, meticulous, and quality-conscious. Your organizational skills are good as well as your ability to prioritize. You are clear in your communication and follow up. Since the work involves many contacts both internally and externally, it requires that you have good collaboration skills, sound judgment, and find constructive solutions.
