Operations Manager / Executive Operations Assistant

Do you want to be the person who makes an entire company run smoothly?

Retina Lighting is looking for a self-motivated and structured individual to become the owner's right-hand person and help develop a growing technology company within professional lighting.

This is not a traditional administrative role. You will work with many different aspects of the business and ensure that processes function correctly, information is accurate, and both customers and suppliers receive professional treatment.

We are looking for someone who thrives with significant responsibility, enjoys order and structure, and likes learning new systems.

About the Role

As Operations Manager, you will work closely with the CEO and gradually take responsibility for daily administration and many of the company's internal processes.

Your responsibilities will include, but are not limited to:

  • Managing the CEO's email and calendar.
  • Customer and supplier communication.
  • Processing customer orders and supplier purchases.
  • Administration in ERP, CRM, and PIM systems.
  • Creating, updating, and quality-assuring product information.
  • Working with Excel and Google Sheets.
  • Compiling reports and documentation.
  • Planning and following up on deliveries.
  • Assisting with quotes and technical documentation.
  • Identifying and improving internal workflows.
  • Serving as a central administrative function within the company.

No two days will be the same. One day you might work with product data, and the next you coordinate deliveries or assist a customer with technical questions.

Who We Are Looking For

  • Highly structured and detail-oriented.
  • Enjoys creating order and efficient workflows.
  • Self-motivated and takes initiative.
  • Thrives working independently for large parts of the day.
  • Tech-savvy and quick to learn new systems.
  • Strong administrative skills.
  • Communicates professionally in both Swedish and English, verbally and in writing.
  • Solution-oriented and humble.

Experience We Expect

  • Microsoft 365.
  • Excel and Google Sheets.
  • ERP systems (preferably Fortnox or similar).
  • CRM systems.
  • PIM, CMS, or e-commerce platforms.
  • Experience working with product data.
  • Customer and supplier contact.
  • Familiarity with AI tools like ChatGPT or Microsoft Copilot is a plus.

Previous experience in the lighting industry is not required, but a technical interest is important.
