About the role:
We are now looking for an administrator for an energy company based in Luleå. Here you will have the opportunity to work in a socially vital operation where administration, coordination, and collaboration with external actors are in focus.
In this role, you work close to the operations and handle cases related to establishment requests from municipalities, authorities, and companies. You coordinate information from various parts of the organization, prepare decision-making materials, and ensure that feedback is provided in accordance with current regulations and internal guidelines.
In addition to the ongoing administrative work, you will also contribute to business development by coordinating activities, documenting meetings, and following up on ongoing initiatives.
In the role, you will among other things:
- Handle incoming requests from municipalities, authorities, and companies regarding establishments in connection with Vattenfall's facilities.
- Collect, compile, and quality-assure documentation from different parts of the operations.
- Design and communicate responses in accordance with internal guidelines and relevant legislation.
- Collaborate with internal specialists and functions to ensure efficient processes and correct decisions.
- Be responsible for meeting administration, including minute-taking and document management.
- Support the department's administrative work and contribute to order and structure in the operations.
- Coordinate and follow up on development initiatives and improvement activities.
Assignment period and scope:
This is a full-time consulting assignment with a planned start date of August 30, 2026, and the assignment runs until January 31, 2027.
To be considered for the role, we see that you have:
- Education in areas such as civil engineering, law/legal science, or another related field.
- At least 3–5 years of experience from similar administrative or coordinating roles.
- Experience working in projects, assignments, or operations with corresponding tasks.
- Experience in minute-taking and document management.
- Experience in coordinating and driving development or improvement work.
- Very good communication skills in both spoken and written Swedish.
- Good to very good knowledge of the Microsoft Office package.

Merits for the position:
- Experience working with municipal planning or detailed planning processes.
- Knowledge of building permit cases or establishment processes related to electricity networks and infrastructure.

You are used to taking responsibility for your tasks, thrive in a coordinating role, and have the ability to handle several parallel cases simultaneously. Furthermore, you are communicative, unpretentious, and easily build good relationships with both internal and external contacts. You work independently, take initiative, and actively contribute to an efficient and professional operation.
