Conference Host / Conference Assistant at Klara Stockholm

At Klara Stockholm, we welcome guests from companies, organizations, and government agencies every day for inspiring meetings in the heart of Stockholm. We are now looking for two new colleagues who want to contribute to the warm, professional, and personal experience that our guests appreciate.

No two days are the same here. One moment you are welcoming a speaker and helping with the technology, the next you are setting up an inviting coffee buffet or serving lunch to our guests. You are simply a key part of the overall experience.

We have an additional venue down at Västra Trädgårdsgatan, and we collaborate closely between our locations.

About the role

As a conference assistant with us, you are both a host, a tech hero, and a service expert. You ensure that our guests feel welcome, safe, and taken care of from the moment they step through the door until the day is over.

Your responsibilities will include, but are not limited to:

• Opening and preparing the conference venue for the day's meetings
• Receiving conference guests and speakers with warm and professional hospitality
• Helping speakers get started with technology and equipment
• Conducting safety briefings for conference groups
• Supporting guests throughout the day and resolving any technical or practical challenges
• Preparing and serving coffee, tea, breakfast buffets, and afternoon buffets
• Setting the table and preparing our dining room for lunch service
• Serving lunch and ensuring the dining experience maintains high quality
• Creating order, comfort, and a welcoming atmosphere in our premises
• Contributing to the professional and personal execution of every conference

Some of our guests wish to end the day with an after-work party or dinner; we may host a mixer or a wine tasting. Some guests wish to hold conferences on Saturdays, so we work on a rotating schedule.

• Have good technical understanding and feel comfortable with conference technology

• Have an eye for detail and notice things others sometimes miss
• Enjoy creating a welcoming environment where guests feel at home
• Like to put extra care into presentation and details – perhaps you enjoy creating beautiful displays of our homemade cakes or making the coffee buffet feel extra inviting
• Are flexible and enjoy varied working days; we operate every day of the week from morning until evening
• Work equally well independently as well as in a team with colleagues

You speak Swedish and English fluently.

You can serve and have done so previously in a restaurant environment.

Perhaps you are also interested in music or have experience handling sound systems, speakers, mixers, or other technical equipment. Experience with sound and conference technology is a plus, or if you have studied event technology in school, that is a big bonus, but most importantly, you are curious, solution-oriented, and enjoy helping others.
