The Department of Physics conducts strong and expanding research with several different focuses, such as organic electronics, nanotechnology, photonics, space physics, and theoretical physics. The department is part of KBC, the Chemical-Biological Centre at Umeå University. We have a strong focus on interdisciplinary research and excellent access to modern instrumentation and analytical infrastructure.

Together with the Department of Physiological Botany, we are now looking for you who want to work as a Study Administrator to support our departments in our work with undergraduate and doctoral education. You will be located at the Physics Department premises but will work 25% for the Department of Physiological Botany.

The position is fixed-term from 2026-08-01 to 2027-01-15 and covers 50% of a full-time position.

Main Responsibilities

For both departments, the work involves holding guiding, study-advisory, and supportive conversations with students in the undergraduate program. This includes helping students understand their academic goals, providing advice on course selection and career opportunities, and offering support for any challenges they may encounter during their studies. It also involves participating in processes such as credit transfers, review of prerequisite requirements, threshold tests, and participation in fairs.

As a Study Administrator (25%) at the Department of Physiological Botany, you will handle ongoing study administrative tasks throughout the entire process, from when courses are created until students complete their studies. You will, among other things, administer course plans and course offerings, manage student registration and waitlist admission, and report results and credit transfers. Additionally, you will handle administration regarding written and digital examinations, as well as perform other common administrative tasks.

Furthermore, the role includes administrative duties for doctoral education at both departments in the Ladok system.

Competency Requirements

We are looking for you who have a high school diploma and experience in similar tasks. You should have a good sense of service, as well as communication and collaboration skills. You are an outgoing and meticulous person who can work independently, take initiative, have good planning skills, and are positive towards new and varied tasks. We place great emphasis on personal qualities. Good knowledge of Swedish and English is important as we have many international students as well as English-speaking teachers and researchers.

Other Desirable Qualifications

It is meritorious if you have a degree in study guidance/counseling. It is also meritorious if you have a Bachelor's or Master's degree in a field related to pedagogy/educational activities or study guidance.

Good knowledge of the university's administrative systems, particularly Ladok, is meritorious.
