You will be working with:

As a Customer Receptionist/Planner at Werksta Norrtälje, you will have a central role in the workshop's daily operations. You will be responsible for creating efficient workflows, maintaining good customer contact, and correctly planning repair jobs. You will collaborate closely with technicians, the site manager, and the parts/purchasing department to ensure fast and accurate deliveries. The role involves receiving and assessing vehicles, communicating with customers and insurance companies, planning and prioritizing jobs, and following up on work orders in the workshop system. The position requires structure, a service mindset, and the ability to handle multiple cases simultaneously in a fast-paced environment where priorities may change.

Responsibilities

• Reception and registration of vehicles, as well as creating work orders, schedules, and final cost estimates.
• Plan and schedule work in consultation with technicians to minimize downtime and maximize capacity utilization.
• Contact with customers and insurance companies, updating customers on status and handling inquiries and complaints.
• Ordering and following up on spare parts, as well as coordinating with suppliers and internal logistics.
• Ensuring that all documentation in the workshop system is correct, up-to-date, and follows current procedures.
• Assisting with damage assessments and inspections when necessary, as well as preparing cost estimates and quotation documents.
• Participating in improvement work, suggesting process efficiencies, and contributing to an orderly and safe working environment.
• Supporting the daily flow in the workshop when needed, including simpler administrative and practical tasks.

Your Profile

We are looking for you with experience from workshops, customer reception, workshop planning, or similar. You are structured, service-oriented, and have good communication skills. Experience with workshop systems and contact with insurance companies is an advantage. You thrive in a role where you coordinate multiple tasks simultaneously and contribute to both customer satisfaction and efficient workflows.

• Experience from workshops, customer reception, planning, or similar within the automotive industry is advantageous.
• Good understanding of order and systems; familiarity with workshop systems is an advantage.
• Service-oriented, structured, and solution-oriented with good teamwork skills.
• Communicative and comfortable in contact with customers, technicians, and insurance companies.
• A B-driver's license is an advantage depending on the scope of the tasks.
