Are you ready for a bigger task?
The Swedish Police Authority is Sweden's largest authority with about 40,000 employees across the country. With us, you have the opportunity to contribute to the Police's mission to increase safety and reduce crime in society.
We are now looking for a cleaning coordinator for our team at the Procurement Unit who is structured, flexible, and proactive, and has a high ability to collaborate and communicate. With us, you will develop together with engaged and friendly colleagues and gain experiences for life, while your work contributes to increasing safety and reducing crime in Sweden.
The Procurement Unit is responsible for ensuring the Police Authority's supply of goods, services, and construction contracts, excluding the IT area. This means that we manage, support, and develop the authority's procurement activities and, based on a category-based strategic procurement approach, plan, procure, and follow up on the authority's contracts and suppliers. Our responsibilities also include the authority's material supply, central warehouses, and the use of e-commerce. The Police Authority's annual procurement volume is about 7 billion SEK. In recent years, we have carried out extensive change work to create conditions for a functional procurement organization, robust supply chains, and effective use of the authority's resources. As part of this work, and in collaboration with the authority's other operations, a gradual implementation of category management as a method for procurement work is underway.
We are about 100 employees with a geographical spread across the country, where most are located in Stockholm, Gothenburg, Malmö, Linköping, and Umeå. We are now recruiting cleaning coordinators with placement in Gävle.
The cleaning coordinators are organizationally placed in a group of 10 employees at the procurement unit and are responsible for one or more geographical areas.
Job Responsibilities
The main task of the cleaning coordinator is to be responsible for, coordinate, and develop the existing cleaning operations within the Police Authority. This means that you will be the requirement setter against our suppliers, as the Police Authority purchases cleaning as a service. You will also work with business-related and commercial follow-up. The work therefore requires regular internal contact for follow-up, development, and adaptation of ordered services based on the needs of the operations. Here you will have the opportunity to create good relationships within the organization as you independently ensure that the work is carried out in accordance with the applicable cleaning agreements in your assigned geographical areas. Through active collaboration, you will drive business and supplier development within your areas.
Your tasks include:
- Conducting regular quality checks regarding cleaning
- Following up on any deficiencies in the execution of cleaning
- Being the procurement unit's contact point for the relevant police areas regarding cleaning operations
- Assisting in the work with permissions and security checks regarding the cleaning supplier's staff
- Making adjustments to ongoing cleaning agreements according to applicable contractual terms that change over time due to the operational needs for service levels
- Being a requirement setter and support for the strategic purchaser in new cleaning procurements such as the development of basic data and requirements.
- Introducing suppliers regarding applicable routines and regulations related to the fulfillment of the contract
- Ensuring that the supplier provides the agreed cleaning equipment and consumables
Travel is required for this position.
Qualifications
- High school diploma
- At least 3 years of experience in cleaning operations with quality or process responsibility
- Possess a professional certificate according to PRYL, SRY, or equivalent
- Driver's license B, as travel is required for the job
- Good ability to express yourself both verbally and in writing in Swedish
- Good computer skills
It is an advantage if you have:
- Experience in public procurement and contract follow-up in the area
Personal qualities:
The tasks require flexibility and solution focus, where you can quickly change and adapt your perspective and approach. Furthermore, the work requires you to have a sense of structure and to plan, organize, and prioritize your work effectively within set time frames. We believe that you are good at building relationships and are therefore social, outgoing, and skilled at creating professional relationships. You need to be able to adapt your communication to the situation and not be afraid to have uncomfortable conversations. We network a lot with other operations in various areas and have an organization-wide perspective where you can see the whole. You need to be proactive and driven to independently manage your workday within given frameworks.
We place great emphasis on personal qualities and maturity.
