ABOUT THE POSITION: 

Our client operates in the offshore industry for marine seabed mapping with the purpose of mapping bottoms ahead of the construction of marine infrastructure, inspections of pipelines, and other marine structures on and in the seabed, around Europe. This is a position for you who are at the beginning of your career with a completed post-secondary education, are quality-conscious in your work approach, and are driven by advanced document management. At the same time, you are used to and enjoy daily communication with colleagues and clients.

The primary tasks for the position are to overall control and be responsible for project documents, communicate these to clients, and have an overall responsibility for ensuring that internal documentation follows the company's quality standards. All documentation is currently done in Sharepoint, so our client sees it as advantageous if you are well-versed in the system.

The role involves a high work pace at times while still requiring accuracy and quality in the work. 

Responsibilities: 

  • Prepare the document management system ahead of project start with folder structure, templates so that each department within the company can input necessary documentation before and during ongoing projects
  • Ensure that documents meet set standards and quality requirements
  • Be responsible for the revision work of reports and documents for clients
  • Ensure that the “Responsible Assignment Matrix” is updated for each document and project, for example, clarity and structure in who is responsible within the company for creating, revising, and approving parts of documents related to various projects
  • Compile documents and reports before they are communicated with clients
  • Structure and compile reports/documents so that they meet client requirements
  • Maintain and develop our client's document management system ProArc and be involved in the upcoming implementation of a new system
WE ARE LOOKING FOR YOU WHO: 
  • Have a completed YH or university education in quality, administration, geology, or similar
  • Have experience in administering and structuring a document management system, strongly meritorious if you have worked in Sharepoint
  • Enjoy providing service to both clients and colleagues
  • Have an easy time learning new work methods and are flexible in handling different tasks simultaneously
  • Can communicate fluently in Swedish and English in both speech and writing, as these languages are used in daily work
  • Are computer literate and can easily familiarize yourself with different systems
  • Have an easy time understanding workflows related to the role

Since the job requires following specific guidelines and document codes, we prefer that you are structured, meticulous, and quality-conscious. At the same time, you are customer-focused and enjoy communicating with clients and internal departments.

ABOUT THE EMPLOYMENT:

This is a consulting assignment, which means you will be employed by Friday.

  • Extent: Full-time, the assignment extends over 6 months with the possibility of extension
