The Department of Global Public Health is an interdisciplinary institution aimed at deepening knowledge on how the health of populations can be improved at local, national, and global levels.
Many of the department's researchers serve as scientific advisors to authorities and other decision-makers at regional, national, and international levels. The department is responsible for three international master's programs, and the researchers actively participate in teaching at undergraduate, graduate, and doctoral levels.
The Center for Health Crises (https://kise-my.sharepoint.com/personal/johan_von_schreeb_ki_se/Documents/Mac/Desktop/privat/ki.se/healthcrises) was initiated as a result of Karolinska Institute's (KI's) work during the COVID-19 pandemic, to take a new approach on how universities can contribute to increasing preparedness for future health crises and strengthening the response when a crisis occurs. We do this by catalyzing research collaborations, participating in the development of new educational programs, gathering existing and building new expertise in the health crisis area, and conducting policy work.
Your Role
In your role as an administrative coordinator, you will assist with the administrative work at the Center for Health Crises. This includes coordinating various events, financial administration, preparing applications for funding agencies, and other administrative tasks. You will also work with ongoing study administration related to the center's educational programs and courses, such as communicating with lecturers and students, booking teaching venues, and sending out information. Other tasks may arise as the center operates in a changing context.
The position includes the following tasks:
- Coordinate logistics for events, seminars, and workshops
- Compile information, write minutes from meetings
- Monitor and support applications to funding agencies
- Study administration
- Review and code invoices in KI's financial system UBW.
- Monitor and manage the center's functional email inbox
- Be responsible for booking travel, handling orders for materials and IT equipment, and other administrative support.
Who are you?
We are looking for a solution-oriented person who can work in a structured and independent manner. The work requires a high level of accuracy, flexibility, and good collaboration and initiative skills. The job also requires the ability to switch between high and low tasks, foresight, and a strong interest in health crises at local, national, and global levels. Qualifications:
- Bachelor's degree in political science.
- Work experience as an administrator or similar role at a public university.
- Excellent communication skills in both spoken and written Swedish and English.
- Ability to work independently and in a team, as well as manage multiple tasks simultaneously.
- Good knowledge of Office 365, especially Word and Excel, and experience with the financial system UBW.
For this role, it is advantageous if you have:
- Work experience in coordinating, planning, and executing larger events.
- Documented interest in the area of health crises.
- Knowledge of web editing.
- Documented knowledge of study administrative systems such as LADOK and Canvas (KI's learning platform).
