Background

The client is undergoing significant expansion where we need to do more in a shorter time to meet society's needs for their services. The expectations on delivery capacity are high within the organization. Therefore, we now see a need for extra resources to handle the increased amounts of documentation and information deliveries coming from more and more projects. It is important for us to maintain high quality in what we do while respecting the project timelines. To achieve this, we now need several reception coordinators. In parallel with the increased deliveries, we need to carry out extensive work to review both processes and workflows for receiving documentation and information from the projects, as well as ensuring that we can increasingly automate our reception controls and improve the data quality of the received deliveries.

Role and Responsibilities

The role involves being responsible for coordinating and organizing the receipt of final documentation from projects to management and ensuring that the delivery meets the requirements for information and documentation. You will work together with a team within the unit and have support from team leaders and colleagues who are currently responsible for the task.

The role requires you to be goal-oriented and driven by results in prioritization, planning, and action. You take initiative, start activities, and achieve results. Since it is a coordinating role, you work well with other people. You listen, communicate, and resolve conflicts constructively. It is important that you have good communication skills and that you speak clearly, articulately, and engagingly in individual meetings as well as in small and large groups. We place great emphasis on your personal qualities.

Tasks

The assignment includes the following tasks:

  • Develop a delivery plan for the handover/receipt of final documentation together with the documentation manager in projects and management.
  • Be responsible for checking the delivery plan with the client.
  • Review the checklist for handover/receipt.
  • Quality review, coordinate, and update drawings and documentation based on formal requirements.
  • Manage information in the document management system and maintain a dialogue internally within the organization.
  • Participate in planning meetings regarding technical facility information.
  • Where applicable, support the development of work processes, checklists, and workflows and act as support during the startup of new projects to ensure requirements and identify any deficiencies in existing documentation and suggest actions that can be handled by the project.
  • If necessary, other tasks within the unit may also be performed, such as handling cases or implementing data quality improvement measures, in agreement with the client.
Mandatory Requirements
  1. Degree from a university or college education of at least 180 credits (120 ECTS) in engineering or construction, or equivalent education from YH. The consultant must attach a certificate/proof of education.
  2. At least 5 years of documented professional experience in receiving and/or handing over final documentation from projects to receiving management (e.g., documentation controls, documentation manager, documentation coordination, reception coordinator).
  3. At least 8 years of experience working with documentation/information in infrastructure, construction, industry, or facilities.
  4. At least 8 years of experience working with technical document management, including drawings, technical documents, etc., in an information system or similar.
  5. The consultant must speak and write Swedish fluently.
Desirable Requirements
  1. At least 5 years of experience working with the handover of final documentation related to the energy sector.
  2. At least 5 years of experience in project management.
  3. At least 5 years of experience working within a management organization.
  4. Has at least 3 years of experience working in the IFS system with documentation
