Administrative Management Assistant at the Cemetery Administration

About the Position
In the role of management assistant, you have a key role in the administrative work at the Cemetery Administration. You work closely with the cemetery and property manager as well as the unit managers in the department, contributing to ensuring professional and effective support to the various parts of the administration. It is a versatile position where you switch between tasks such as minute-taking, personnel administration, time reporting, invoice coding, and general office tasks within the organization. You are part of a team of six people but also work closely with the other departments of the administration.
The tasks include, among others:
- Administrative support to managers and units
- Secretarial duties for committees and meetings
- Invoice coding and financial documentation
- Personnel administration, onboarding/offboarding, time reporting
- System administration in Flex HRM, Public 360, and RCO
- Planning and booking meetings, venues, and internal events
- Preparing monthly letters and providing our communications department with relevant information
- Archiving and record-keeping
- Staffing the reception and phone as needed

Qualifications
To apply for the role, we want you to have:
- High school diploma, preferably with a focus on administration or economics
- Experience in qualified administrative work
- Very good computer skills and experience with administrative systems
- Experience in writing minutes and compiling large amounts of information
- Fluent Swedish in speech and writing
It is an advantage if you have:
- Further education in administration
- Experience working in public administration or the Church of Sweden
- Knowledge of Flex HRM and Public 360
- Experience in record-keeping and archiving
- Experience in personnel administration and invoice handling
